Trip Fuel Price Excel Tool
Budget: $250 – $750 USD
I’m putting together a single-workbook solution in Microsoft Excel that will make it effortless to compare fuel prices for every flight we plan. The core idea is simple: once I enter the aircraft, location, month, uplift quantity and a set of fuel providers, the sheet should flag the cheapest option automatically and show the potential savings for that uplift.
Because I do not yet have a fixed template, I’ll need your guidance on the best structure for the data-entry interface so it stays clean and scalable. Comparing fuel prices is the top priority, but the workbook also has to handle these tasks smoothly:
• Dynamic provider list – a starter table with our regular suppliers, plus the ability to add new ones without breaking formulas or lookups.
• Automated lowest-cost logic – instant identification of the cheapest provider at the selected location and calculation of the savings if we switch.
• Multiple views – savings aggregated by trip, aircraft, location, month and provider through pivot tables or equivalent Power Query/Power Pivot models.
• Printable trip reports – formatted output I can hand to crews or accounting.
• Dashboard – at-a-glance tiles and charts for total savings to date, cheapest providers overall, locations with the highest savings, and month-over-month comparisons.
The finished file must stay within native Excel (no external add-ins), run hassle-free on the current Microsoft 365 desktop version, and be easy for non-technical users to maintain.
