Fuel Transaction & Telematics Excel Template

We need an Excel-based solution that automatically analyzes and cross-checks:
• Fuel card transactions (ENI) → liters, amounts, dates, vehicles, drivers, etc.
• Telematics data → fuel level (float sensor), vehicle usage, timestamps, license plates, assignments, etc.

The goal is to have a ready-to-use Excel template where we can paste the updated data and immediately generate daily/weekly reports highlighting anomalies and usage statistics.

Some check will require additional data and you will create the schema template in excel (es vehicle assignments, vehicle fuel, etc.)

Required Controls & Reports

The template must automatically generate reports covering at least the following checks:

Fuel vs. Telematics consistency
• Liters from ENI transaction vs. liters measured by telematics float sensor
• Transactions not received from telematics
• Transaction not received on fuel card
• Fuel type mismatch (e.g., diesel transaction on a gasoline vehicle)

Time & Usage anomalies
• Refueling outside working hours (before 06:00 or after 19:00)
• Refueling during weekends
• Transactions with less than 15 liters (except special equipment/earthmoving machines)
• Transactions where mileage declared at refueling differs significantly from telematics mileage

Cost & card usage
• Transactions using costly or unauthorized fuels (AdBlue, Diesel+)
• Drivers using more than 3 different fuel cards on the same month

Assignment & HR consistency
• Transactions where the vehicle license plate does not match the assigned driver
• Transactions made by drivers not in HR database / no longer employed
• Transactions made after vehicle return or reassignment
• Transactions on vehicles not correctly assigned in the system

Output Expected
• Excel template (.xlsx or .xlsm) with:
o Input sheets for fuel transactions and telematics data
o Automated reports with summary of anomalies + detailed sheets per category
• Reports must be easy to refresh (e.g., via Power Query “Refresh All” or a single button/macro).
• A clear summary sheet (KPIs, anomalies count, overall fuel usage).

Requirements for Freelancer
• Strong expertise in Excel (Power Query, VBA, advanced formulas)
• Experience in data validation and anomaly detection
• Ability to design a clean, scalable, and user-friendly template for non-technical staff

Deliverables
• Final Excel template with all reports and anomaly checks
• Short user guide explaining how to paste new data and refresh the reports
