Excel Database & Rating Automation
Budget: $250 – $750 USD
Excel Database Architecture & Macro Automation Specialist
Client: Sports Performance & Skills Assessment (SPSA)
Project Type: Short-term technical implementation (with potential ongoing support)
⸻
1. Background – About SPSA
Sports Performance & Skills Assessment (SPSA) is a high-performance sports analytics and assessment platform working with youth and elite athletes across multiple sports disciplines. SPSA conducts structured athlete assessments and benchmarks performance against global elite academy data, segmented by:
• Age (from 6 years to adulthood)
• Gender (male / female)
• Sport discipline (approx. 41 sports)
• Position within the sport (e.g. football striker vs centre back, basketball guard vs center)
Our objective is to automate athlete performance evaluation through a robust Excel-based system that links individual assessment data to a global benchmarking database and generates a standardized performance rating (H-Score).
⸻
2. Project Overview
SPSA currently operates with two Excel files:
1️⃣ Data Entry Template (Existing)
• Used before and during athlete assessments
• Captures athlete demographics and test results
• One template per athlete / assessment
• Already structurally designed
2️⃣ Benchmarking Database (Partially Built)
• Central Excel database containing global benchmark values
• Benchmarks sourced from elite academies worldwide
• Structured by age, gender, sport discipline, and position
• Requires completion, scaling, and optimization
The selected specialist will support SPSA in finalizing the database framework and automating the linkage between the two files using Excel macros.
⸻
3. Scope of Work
Phase 1 – Database Framework Completion
The consultant will:
• Finalize and structure the central benchmarking database to cover:
• Ages 6 through adulthood
• Male and female athletes
• ~41 sports disciplines
• Relevant positions within each sport
• Ensure the database structure supports:
• Scalability for future sports and benchmarks
• Clean data hierarchy and logic
• Efficient macro-based querying
• Validate consistency and integrity of benchmark inputs
• Prepare the database for automated score calculation (H-Score logic provided by SPSA)
⸻
Phase 2 – Macro-Based Automation & Linkage
The consultant will:
• Design and implement Excel macros (VBA) that:
• Read athlete demographics and results from the data entry template
• Identify the correct benchmark set from the database
• Pull the relevant benchmark values automatically
• Calculate and return the athlete’s H-Score into the data entry sheet
• Ensure:
• Minimal manual intervention
• Error handling for missing or incomplete data
• Clear documentation of macro logic
• Maintain performance despite large dataset size
⸻
4. Key Deliverables
• Completed and optimized Excel benchmarking database
• Fully functional macro linkage between:
• Data entry template
• Benchmarking database
• Automated H-Score calculation and population
• Technical documentation covering:
• Database structure
• Macro logic
• Instructions for SPSA internal users
• Handover session with SPSA team (virtual)
⸻
5. Required Expertise
We are looking for a true Excel expert, not a generalist.
Mandatory Skills
• Advanced Excel (expert level)
• Strong VBA / macro development
• Experience working with large Excel databases
• Strong data structuring and logic design skills
• Ability to build scalable and maintainable Excel frameworks
Preferred Experience
• Performance analytics, sports data, or benchmarking projects
• Experience with rating or scoring models
• Prior work with multi-dimensional datasets (age, gender, category, etc.)
⸻
6. Project Timeline
• Phase 1: 1 week
• Phase 2: 1 week
(Exact timeline to be confirmed based on proposal)
