Administrative Assistant
Budget: $25 – $50 USD
We are looking for an Administrative Assistant that thrives in a fast-paced SaaS technology environment. The position requires providing in-depth and strategic support for the top leaders in our organization. The ideal candidate will be someone with a strong sense of ownership and sound judgment, who wants to build a trusting long-term partnership with your leaders.
Responsibilities;
• Provides day to day administrative and personal support to a partner in the law practice, enabling the partner to efficiently and effectively pursue dynamic professional and personal goals
• Execute complex domestic and international travel arrangements for partner and family members, juggling intricate schedules and calendars
• Extensive calendar management including scheduling, adding and updating information for work, family, social events, clients, and other attorneys
• Logistical preparation for meetings, including conference rooms, meals, coordinating with IT, providing reminders, preparing documents, etc.
• Organize information, work, and physical space while consistently offering ideas to enhance the support of the partner in order to bring added value to the role
• Proactively manage incoming/outgoing communications, including mail and emails, etc.
• Track and process expense reimbursements
• Additional duties as assigned
Qualifications:
• Impeccable organizational skills with the ability to proactively identify and solve problems under pressure
• Highly proactive, meticulous, adaptable, detail-oriented, resourceful, and self-directed
• Ability to remain calm in the face of unexpected challenges and take ownership of responsibilities
• Completes requests with the utmost discretion in all aspects of the job, both business and personal
• Proficient in handling administrative tasks including calendaring, travel arrangements, coordinating meetings, conference calls, etc. with exceptional follow-up skills and a positive attitude
• Proficient in Microsoft Office suite
• Well-organized, detail-oriented, ability to multi-task with great follow-up skills
• Strong written and verbal communication skills
