Full-Time Remote Sales Assistant

Purpose: Provide communications, sales and marketing support to the business (law firm with a subscription program). Positively contribute to the growth and development of the firm.

Location: Remote. Our firm is fully remote, we primarily serve clients in Minnesota and the Central Standard Time zone.

Days & Hours: We are generally at work Weekdays 8:30/9:00 a.m. to 5:00/6:00 p.m. Central Standard Time excluding holidays that fall during the week and days when the firm is closed. Regular and prompt attendance for the schedule you agree to is important for the position.

Supervised by: Firm Owner
Operational Support: Firm Manager / Client Success Coordinator

Technology Requirements:
• High speed internet connection (fast enough to allow for Zoom meetings and uninterrupted VOIP calls – ideally 35+ Mbps down and 20+ Mbps up)
• Functional computer equipment running Windows 11 or higher
• You are expected to follow our IT device policies and to encrypt your hard drive, install free programs like Malwarebytes, Piriform’s CCleaner and use a VPN when using public Wi-Fi.

About the work:
You will be joining a small team that works hard and plays hard. We're fun loving and innovative - this firm is not like other law firms, Google “Birken Law” or “Jess Birken” to learn more. No two days are the same at the firm, and you can expect to learn something new every day. This position will start as full time (40hrs/week) on a trial basis. If you prefer a part time position, let us know in your cover letter. Our firm is women lead and managed. Here's what you'll be doing day-to-day:

Inbox Management:
• Efficiently manage the sales/marketing team email inbox for the Firm Manager (responding to inquiries and facilitating communication or appointments between prospective clients, vendors, etc.).
• Organize and prioritize emails to ensure timely and effective responses.

Scheduling:
• Coordinate and schedule sales meetings within the team, optimizing calendar efficiency.
• Arrange appointments and manage logistics for virtual meetings.

Brand / Product / Services Knowledge:
• Invest time in learning about the brand and our products and services so you can provide informed support to prospective clients/customers.
• Stay updated on product features, benefits, and nonprofit industry trends.

CRM Maintenance:
• Maintain the Customer Relationship Management (CRM) software we use (AirTable), ensuring accurate and up-to-date information tracking on new customer leads, opportunities, and potential client interactions.
• Track and document sales opportunities, updating records as needed.

Client Qualification:
• Take sales calls and help qualify potential clients.
• Gather essential information from potential clients to streamline the sales process and enhance lead qualification.
• Provide support and participate in cross training on answering incoming phone calls and social media direct messages when other team members are not available.

Administrative Support:
• Provide administrative support to the sales team as needed, including data entry, report generation, and document preparation.

Generally:
• Collaborate with team members to ensure seamless workflow.
• Create or update SOPs related to these processes in Tettra.
• Use critical thinking to see where improvements can be made
• Use flexible thinking to adapt to a person’s needs in the moment instead of just relying on rote procedure.

Requirements:
• Fluency and clarity in both written and verbal English.
• Previous experience in sales support or any customer-facing role where socializing and people skills are key (front of house in dining, front desk, sales, or support, executive assistant, etc.).
• Proficiency in Microsoft Office Suite, including Outlook.
• Comfort with learning new technology like ChatGPT etc.
• Attention to detail and quality control.
• Ability to learn quickly and stay informed about products and industry trends.
• Comfortable taking calls, talking to people informally without a script (at least a little!)
• Availability to work majority of hours in the Central Standard Time zone.
