Our gallery hosts exhibitions, private viewings, community art events, and online sales initiatives.
Position Overview
The Detailed Typist & Email Handler will be responsible for managing high-volume email correspondence, preparing accurate documentation, maintaining digital records, and supporting daily gallery operations. This role requires exceptional typing speed, impeccable grammar, strong organizational skills, and the ability to communicate professionally with artists, collectors, vendors, and clients.
Key Responsibilities
Email Management & Communication
Monitor and manage multiple business email accounts.
Respond promptly and professionally to inquiries from clients, artists, vendors, and partners.
Draft customized email responses regarding artwork availability, pricing, event invitations, shipping details, and commissions.
Organize inboxes using folders, labels, and priority systems.
Flag urgent communications and escalate when necessary.
typing & Documentation
Accurately type contracts, invoices, consignment agreements, artist bios, exhibition descriptions, and press releases.
Transcribe meeting notes and gallery event summaries.
Prepare polished documents with correct grammar, punctuation, and formatting.
Create templates for frequently used communications.
Ensure 100% accuracy in names, artwork titles, pricing, and transaction details.
Administrative Support
Maintain digital and physical filing systems.
Update inventory databases with artwork details, dimensions, medium, and pricing.
Assist in preparing shipping documents and sales records.
Coordinate appointment scheduling and exhibition calendars.
Support online listing updates for gallery website and sales platforms.
Confidentiality & Professionalism
Handle client data, sales information, and artist agreements with strict confidentiality.
Maintain professional tone and brand consistency in all written communications.
Required Qualifications
0 experience in administrative support, data entry, or office typing role.
Typing speed of 60+ WPM with high accuracy.
Exceptional written and verbal communication skills.
Strong proficiency in Microsoft Office (Word, Outlook, Excel) and Google Workspace.
Experience managing professional email correspondence.
Strong organizational and time management skills.
Ability to multitask in a fast-paced environment.
High attention to detail with minimal supervision required.
Preferred Qualifications
Previous experience in an admin field, art gallery, creative business, or luxury retail environment.
Familiarity with art inventory management systems.
Basic knowledge of invoicing and bookkeeping procedures.
