Part-Time Construction Admin Assistant
Budget: $8 – $15 CAD
I run a small construction-management firm in Toronto and I need reliable help a few hours each day (15–20 hrs/week, fully remote). Your main focus will be keeping our CRM current and communicating with clients so no detail, deadline, or follow-up goes missing.
Because many of our estimates and progress reports flow straight into invoices, you should be comfortable with QuickBooks at an intermediate level—able to create and send invoices, reconcile expenses, and flag anything that looks off before month-end.
On quieter days I’ll have you jump into light drafting: creating simple CAD drawings from my mark-ups so the field crew and trades get clear visuals. If you’re already handy in AutoCAD, great; if not, any comparable tool works as long as the files come back in DWG or PDF.
I use Squarespace for the website; updating project photos or tweaking a page layout occasionally comes up. If you haven’t touched Squarespace before but you’re quick to learn, that’s fine. Strong written and spoken English is essential since almost all client touches are email or phone.
The rhythm is flexible—work when it suits you as long as tasks are cleared by day’s end and meetings land within North American business hours. I’m in Toronto, so Canadian or U.S. time zones keep collaboration simple. Pay is experience-based with room to grow as we hand off more responsibility.
Specific deliverables you’ll own:
• Daily CRM updates and client follow-ups
• Weekly invoice generation and reconciliation in QuickBooks
• Simple CAD drawings for site instructions or permit packages
• Occasional website edits on Squarespace
If you’re organized, self-sufficient, and enjoy wearing a few different hats in the construction world, let’s talk.
