I'm seeking a Digital Operations & Web Systems Manager on a freelance or part-time basis.

Role Overview
We are looking for a proactive and reliable Digital Operations & Web Systems Manager to maintain and evolve our online infrastructure. This role ensures our website, server, CRM, and digital platforms are always running smoothly and efficiently. You will collaborate with our marketing and social media team and our Chief Operations Officer and be the go-to person for operational tech support.

This position is suited to someone with a strong technical background, attention to detail, and the ability to oversee a stack that includes IDX/MLS integrations, SEO infrastructure, and CRM systems (FUB).

Key Responsibilities
Website & Server Management
• Maintain and update the company’s website (design tweaks, plugin updates, bug fixes)
• Manage web hosting, domain/DNS settings, and company email services
• Oversee uptime and performance of external cloud-based servers

Systems, CRM & Task Management
• Manage and optimise our CRM system (Follow Up Boss) including user accounts, workflows, integrations, and data quality
• Provide support for team-wide task and project tracking, ensuring systems remain aligned and up to date
• Troubleshoot access or automation issues as needed
AI Assistant Oversight
• Oversee the already integrated Structurely AI Receptionist, ensuring performance and functionality remain optimal
• Report any service issues and coordinate with the vendor if needed

Marketing Support Coordination
• Work with the Social Media Manager to ensure web alignment with marketing campaigns
• Support setup of landing pages, tracking tools, and lead capture integrations
• Ensure CRM and digital channels are connected to capture campaign leads effectively

Ongoing Support & Technical Readiness
• Act as first responder for tech issues and server/site emergencies
• Keep internal documentation updated (e.g. access credentials, hosting notes, CRM schema)

Working Hours & Availability
Estimated Weekly Hours:

10–20 hours/week, with flexibility based on project cycles and campaigns
On-Call Expectation:
Must be reachable for critical website or system issues, especially during major marketing launches or client onboarding periods

Required Skills
• WordPress and/or custom HTML/CSS site maintenance
• Email hosting and DNS management
• Strong working knowledge of CRM systems (esp. Follow Up Boss)
• Experience with task management tools (e.g. Trello, Asana, Notion)
• Understanding of IDX/MLS data feeds and integration (esp. via Showcase IDX)
• High-level SEO control and global optimisation strategies
• Familiarity with third-party integrations and lead routing
• Excellent documentation and troubleshooting habits

6-Month Milestones:
By this stage, you should expect the following:

1. Digital Infrastructure Stability
• Website fully functional with IDX/MLS integration (e.g. Showcase IDX)
• Mobile-optimised, fast-loading site with clear UX pathways
• Structurely AI Receptionist fully monitored and fine-tuned
• SEO foundation established (metadata, technical SEO, site health)

2. Brand Awareness and Digital Footprint
• Basic but active content calendar implemented across Meta, LinkedIn, and X
• Recognition of the Luxure.io brand among international property buyers, developers, and brokers
• First round of Google/Meta campaigns launched, generating early qualified leads
3. CRM and Lead Management Flowing
• Follow Up Boss automations, lead scoring, and email sequences in place
• Website forms and Structurely AI feeding directly into CRM without bottlenecks
• Initial client segmentation and tagging active for future nurturing
4. Performance Baselines
• 2,500–5,000 unique monthly visitors (targeted traffic from ideal geos)
• 100+ captured leads in CRM with segmentation
• 1–3 closing opportunities (in pipeline or converted)

12-Month Success Outcomes:

1. Authority & Organic Traffic Growth
• Site ranking on page 1 for 8–15 niche high-value SEO terms (e.g. "Luxury Miami Condos", "Buy waterfront property Florida from abroad")
• 10,000+ monthly organic visitors
• 20+ quality backlinks via blog content, press mentions, or syndications

2. Conversion & Lead Ecosystem
• Structurely AI consistently managing 60–80% of inbound queries autonomously
• CRM enriched with 1,000+ verified leads, segmented by interest, source, and region
• 5–10 property deals closed or in advanced pipeline, ideally from foreign clients

3. Marketing & Retargeting Engine
• Clear buyer funnel with nurturing content (drip email sequences, blog posts, WhatsApp automations)
• Data-driven ad campaigns delivering 3–5x ROAS
• First evergreen campaigns running with continuous lead capture

4. Systemised Operations
• SOPs and playbooks for social media, CRM usage, listing updates, etc.
