Customer Relationship Management Solution

1. Introduction
The client requires implementation of a Customer Relationship Management (CRM) solution. The Service Provider will be expected to provide licenses, implement the business requirements, support, and maintain the solution for a period of five (5) years.
1.1. Purpose To implement a CRM solution that will enable business areas such as Network Planning Service Standards and Performance, Corporate Services, and IT. The solution should be expandable to other business areas in the future.
1.2. Objective The CRM solution must support the management of customer queries, key account management, stakeholder relations management, sales capabilities, and VIP services.
1.3. Background The client focuses on high-quality customer service across various locations, requiring a solution that supports efficient customer engagement and service in a standardized manner.

2. RFP Scope
The CRM solution must include, but not be limited to, the following capabilities:
• Customer Query Management: Tools to log, track, and manage customer queries across multiple communication channels.
• Key Account Management: Functionalities to manage and analyze key operational stakeholder accounts and interactions.
• Stakeholder Relations Management: Systems to manage and improve relationships with various stakeholders through strategic engagement tools.
• Sales Capabilities: Features to support sales processes and pipeline management, expandable for future needs.
• VIP Services: Specialized tools for managing high-profile customers and VIP services, including booking and tracking capabilities.

2.1. Implementation Details
The solution should be cloud-based, with all data hosted within South Africa to comply with local data privacy regulations. Integration requirements include, but are not limited to:
• Microsoft Outlook: For email and calendar integration.
• Active Directory: For user authentication and management.
• ERP Systems: To synchronize with existing financial and operational data.
• SharePoint: For document management and intranet functionalities.
• Service Platforms: Such as call management systems and customer service platforms.

3. Business Requirements
Each area of functionality will have specific requirements detailing necessary features, user interfaces, data handling, security measures, and compliance with local regulations. Requirements will include system capacities for handling peak loads, data analytics capabilities, and user training.

4. Non-Functional Requirements
• Scalability: Ability to handle a 5% to 10% increase in user load annually.
• Reliability: The system must guarantee 99.8% uptime, with robust disaster recovery solutions.
• Security: Comprehensive data protection measures, including encryption, secure data transfer, and rigorous access controls.
• User Access Rights: Detailed permissions structure to manage different levels of user access based on roles within the organization.

5. Required Services from the Bidder Bidders must outline their approach to:
• Solution Implementation: Including timelines, major milestones, and alignment with the client’s strategic goals.
• Quality Assurance: Detailing testing protocols, performance benchmarks, and security audits.
• Training and Support: Plans for end-user training, ongoing technical support, and system updates.
