We are currently seeking a highly organized, detail-oriented Branch Manager Assistant to support one of our Top-Producing Branch Managers. This role is vital to ensuring smooth operations, organized client interactions, and overall branch efficiency within a fast-paced commercial real estate environment.
Job Responsibilities | What You Will Be Doing
The Branch Manager Assistant plays a key role in supporting the day-to-day operations of our commercial real estate team by keeping the pipeline organized, ensuring timely client follow-ups, and maintaining operational excellence.
Client & Referral Follow-Up:
- Proactively follow up with investor referrals and commercial real estate clients from brokers, partners, and other sources.
- Maintain professional, prompt communication with clients, brokers, and internal teams to support a smooth transaction process.
- Track all referral follow-ups and client interactions in CRM systems like Salesforce.
Document & File Management:
- Accurately label, relabel, and organize client and transaction documents within our internal systems, including Loan Origination Systems (LOS) such as Encompass when applicable.
- Ensure all required documentation is properly named, filed, and maintained in the appropriate systems.
- Prepare client files and documentation packages to support financing and real estate transaction processes, ensuring accuracy and completeness.
Branch Operations & Workflow Management:
- Assist the Branch Manager with daily task management, follow-ups, and operational workflows.
- Maintain accurate records in LOS (e.g., Encompass) and CRM platforms (e.g., Salesforce).
- Monitor task lists and manage follow-up processes to ensure deadlines and client expectations are met.
- Provide administrative and operational support to maximize the Branch Manager’s productivity and ensure exceptional client service.
Job Qualifications | What We’re Looking For
- Bilingual Requirement: Excellent English and Spanish communication skills are a MUST.

- Minimum of 1-2 years of experience as an Assistant in Commercial Real Estate, Real Estate Finance, or similar industries preferred.
- Familiarity with CRM platforms (Salesforce strongly preferred) and organizational systems (Encompass experience a plus).
- Exceptional attention to detail with the ability to identify inconsistencies, errors, and mislabeled documents.
- Highly organized with strong time management and multitasking skills.
- Excellent written and verbal communication abilities in both English and Spanish.
- Self-motivated, accountable, and able to work independently in a remote setting.
- Professionalism, discretion, and the ability to handle confidential information.
