Excel Equipment Daily Report Template
Budget: $30 – $250 CAD
I need an Excel workbook that lets my field team record each day’s heavy-equipment activity quickly and in a uniform way. Everything will be typed in manually, so the sheet must feel as simple as a paper log while still capturing all the data I track for billing and performance reviews.
Core layout
• One workbook with 31 tabs, pre-labeled Day 1 through Day 31.
• Each tab carries the exact same structure so crews can move to the next day without relearning the form.
Required fields on every tab
– Date (auto-fills the tab name if possible)
– Company / client
– Location, well name and cost code
– Weather (simple drop-down such as Clear, Rain, Snow, etc.)
– Contractor name
Equipment section (10 lines)
A clean table that starts with a drop-down list of equipment types. Once the user picks a machine, the row flows left-to-right:
Equipment | Operator | Hours | Hourly Rate | Sub-total (hours × rate) + service truck day rate, total.
The table should calculate the sub-total automatically and roll each line into a daily total at the bottom.
The costs should be tracked with a running total on subsequent days.
Activities section
Space to write 8 lines of description.
Photo column
A blank column on the far right needs enough width so the crew can paste photographs of the equipment or site conditions for that specific entry.
Quality touches
• Consistent fonts, locked formulas and protected headings so no one accidentally breaks the sheet.
• Clear color cues for where to type versus where calculations happen.
• A single summary page is a plus, but only if it doesn’t slow the workbook down.
Deliverable
The finished .xlsx file ready for immediate field use, plus any supporting notes explaining where to update the equipment drop-down list in the future.
On Equipment line - space to input model name/number, then drop-down list of classifications: Truck and Trailer, Dozer, Excavator, Pay Loader, Rock Truck, Gravel Truck, Packer, Skid-steer, Crew Truck, Service Truck, Supervisor.
Labourer line with fields for Name, hours, hourly rate, total.
Bottom of report: 3 fields: Supervising Consultant - input name field, Reporting to- input name field, Project Manager- input name field.
