Job Title: Compliance & Licensing Coordinator (Freelance – Construction Business Support)
Overview:

We are seeking a highly organized and detail-oriented freelancer to manage all business licensing, insurance, and compliance-related matters for our construction company. This role ensures that our company remains fully compliant with federal, state, and local regulations and helps us stay on top of renewals, filings, and required documentation for each project we take on.



Responsibilities:
• Business Licenses & Permits:
• Track and manage all business licenses and permits
• Handle new applications and renewals
• Ensure timely filing with appropriate agencies
• Insurance & Bonds:
• Maintain up-to-date records of liability, workers’ comp, auto, and other required insurances
• Coordinate renewals and updates with insurance brokers
• Ensure certificates of insurance are provided for clients and projects as needed
• Compliance Monitoring:
• Keep track of changing regulations related to construction and electrical contracting
• Ensure we remain compliant with state contractor board requirements (e.g. CSLB in California)
• Support implementation and maintenance of internal policies
• Project Support:
• Collect and file subcontractor documents (licenses, insurance, W-9s, etc.)
• Assist with preparing compliance packets and documents required for project bidding or execution
• Ensure all job-related documents are updated and properly stored
• Tracking & Alerts:
• Maintain a compliance calendar for all expirations, renewals, and deadlines
• Send alerts in advance of renewals or deadlines
• Maintain a dashboard or spreadsheet to track compliance status across all areas
Qualifications:
• Experience with business compliance and licensing, especially in construction or trade services
• Familiarity with state and local licensing agencies and regulations
• Strong organizational and tracking skills
• Ability to communicate professionally with regulatory agencies, clients, and internal staff
• Knowledge of tools like Excel/Google Sheets, DocuSign, and file management systems
• Ability to work independently and meet deadlines

Preferred:
• Knowledge of California construction requirements
• Experience with CSLB or similar licensing boards
• Familiarity with contractor insurance (liability, workers’ comp, surety bonds, etc.)
