Operations Coordinator (Construction / Design-Build) – Long-Term Remote Position

We are looking for a highly organized Operations Coordinator to become the central hub of our construction project operations.

This is not a virtual assistant position. We are looking for someone who thinks proactively, keeps projects moving, follows up relentlessly, and identifies problems before they become delays.

Responsibilities

* Manage project operations across multiple active construction projects.
* Follow up daily with architects, engineers, consultants, subcontractors, and vendors.
* Maintain Trello project boards and ensure every task has an owner, due date, and next action.
* Track permit submissions, city comments, and consultant deliverables.
* Coordinate cabinet production, shop drawings, approvals, manufacturing, and shipping.
* Prepare weekly client progress updates with photos, milestones, and upcoming work.
* Schedule meetings and prepare agendas and meeting notes.
* Track RFIs, submittals, inspections, procurement, and long-lead items.
* Prepare a daily executive briefing highlighting project risks, delays, and recommended actions.
* Escalate only issues that require executive decisions.

Requirements

* Excellent written and spoken English.
* Strong organizational and communication skills.
* Experience using Trello, Asana, ClickUp, Monday.com, Procore, or similar project management software.
* Experience coordinating construction, architecture, engineering, or design projects is strongly preferred.
* Ability to manage multiple projects simultaneously.
* Comfortable working independently with minimal supervision.
* Strong attention to detail and excellent follow-up skills.

Success Metrics

You will be measured by outcomes, not hours worked.

* Every active project is reviewed daily.
* No overdue consultant follow-ups.
* Every Trello board is current.
* Weekly client updates are delivered on time.
* Potential project delays are identified before they impact the schedule.
* Daily executive report submitted before the end of each workday.

* Cabinet and procurement status report.
* Client communication tracker.
* Daily executive summary.
* Next-day priority list.

Position Details

* Long-term remote position.
* Full-time preferred.
* Must overlap at least 4–5 hours with Pacific Time (Los Angeles).
* Growth opportunity into an Operations Manager role as the company expands.
