Job Overview:

As the Executive Assistant to the CEO, you will play a critical role in managing the CEO’s schedule, facilitating communication, and handling various administrative tasks. This position requires a high degree of professionalism, discretion, and the ability to thrive in a fast-paced environment. You will be the right hand to the CEO, ensuring that they can focus on strategic priorities and leadership.

Key Responsibilities:

Calendar Management: Schedule and manage the CEO’s calendar, including meetings, appointments, and travel arrangements. Prioritize and coordinate daily activities and ensure effective time management.
Communication: Act as the primary point of contact for internal and external communications. Draft, proofread, and edit correspondence, reports, and presentations on behalf of the CEO.

Meeting Coordination: Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items. Ensure all necessary materials and logistics are in place.

Travel Arrangements: Arrange complex travel itineraries and accommodations, including domestic and international travel. Prepare travel briefs and manage expenses.

Project Support: Assist with special projects, research, and strategic initiatives as directed by the CEO. Provide support in preparing presentations and reports.

Confidentiality: Handle sensitive information with the utmost discretion and confidentiality. Ensure that all communications and documents are securely managed.

Office Management: Oversee office operations, including coordinating with other administrative staff, managing office supplies, and ensuring a professional and organized environment.

Qualifications:

Education: Bachelor’s degree in Business Administration, Management, or a related field preferred.
Experience: 5+ years of experience as an executive assistant or in a similar high-level administrative role, preferably supporting C-suite executives.

Skills: Exceptional organizational and time-management skills, strong attention to detail, and the ability to handle multiple priorities. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with project management and communication tools.

Communication: Excellent written and verbal communication skills with the ability to interact professionally with high-level stakeholders.

Problem-Solving: Strong problem-solving skills and the ability to anticipate needs and resolve issues proactively.
