Job Title: Freelance Administrator for Disability Care Business

Job Description: We are seeking a detail-oriented and proactive Freelance Administrator to join our Disability Care Business team. As the administrator, you will be responsible for managing various administrative tasks to ensure smooth operations and excellent client support. This role requires a high level of organization, communication skills, and the ability to work independently.

Responsibilities:

Invoicing: Prepare and complete invoices on a weekly basis, with potential for more frequent invoicing as needed.
Appointment Management: Schedule appointments and follow up via email and occasionally phone calls to confirm appointments with clients. Manage calendar bookings including doctor and Occupational Therapy (OT) appointments.
Change of Circumstance Applications: Handle applications for changes in client circumstances, ensuring all necessary documentation is completed accurately and on time.
End-of-Year Review: Assist in conducting end-of-year reviews for clients, compiling necessary reports and documentation.
Data Entry: Accurately enter and maintain client information and service details into the system. Ensure all data is up-to-date and accurately reflects client interactions and service provision.
Software Utilization: Utilize specialized software to manage client records, appointments, invoicing, and data entry efficiently. Training will be provided for software usage.
Support Funding Management: Assist clients in optimizing and managing their support funding, ensuring budgets are allocated effectively.
New Client Applications: Support and facilitate the application process for new clients, ensuring all required documentation is gathered and processed.
Approximately 10 Hours Per Week: This role involves approximately 10 hours of work per week, with flexibility in scheduling to accommodate business needs.
Collaboration: Work closely with the business owner to ensure administrative tasks are completed accurately and in a timely manner. Collaborate on projects and initiatives to improve business processes.
Requirements:

Proven experience in administration, preferably in a healthcare or disability care setting.
Excellent organizational and time management skills.
Strong communication skills, both written and verbal.
Proficiency in using computer software for administrative tasks.
Ability to work independently and prioritize tasks effectively.
Understanding of disability care processes and regulations is a plus.
Flexibility to adapt to changing priorities and client needs.
