I am looking to put a proper document control framework in place for a growing library of technical manuals, reports, drawings, memorandums, specifications, and construction documents. Nearly everything now sits in scattered PDF and Word files, so finding the right revision—or even knowing who has access—has become painful.

What I need first is solid version control that captures every change without overwriting earlier iterations. Equally important is the ability to assign and manage access permissions so confidential or project-specific material stays in the right hands. An audit trail would be welcome later, but my immediate priority is rock-solid revision tracking and permission management.

I’m open to whichever platform you believe best meets these goals—SharePoint, Confluence, M-Files, a custom cloud setup, or another proven tool—as long as it supports the workflows above and won’t require exotic licensing.

Deliverables
• Configuration of the chosen system with folders/metadata tailored to the document types listed
• Migration of a pilot batch of existing PDFs and Word files, showing correct version history
• Role-based permission matrix implemented and tested
• Short user guide (or screen-recorded walkthrough) explaining the daily check-in / check-out process

Acceptance criteria: every migrated file appears with its full revision chain, “Engineer” and “Viewer” roles behave as defined, and I can add a new document category without breaking anything.
