Engagement Overview
Our organization is executing a multi-phase enterprise transition from Google Workspace to Microsoft 365 to establish a unified, secure, and modern digital workplace. This initiative aligns with our broader strategy to standardize collaboration, improve data governance, and reduce platform fragmentation.
We are seeking experienced migration specialists who have successfully delivered comparable enterprise-scale transformations. The selected specialist will lead and support all phases of migration—from discovery through post-migration stabilization—ensuring minimal disruption and full data integrity.

Scope of Work
The contractor will be responsible for end-to-end planning and execution of the migration, including:
1. Discovery & Assessment
• Audit of Google Workspace environment (Gmail, Drive, Shared Drives, Calendar, Contacts, Sites, etc.)
• Identity, access, and permissions mapping
• Data volume analysis and migration sizing
• Risk identification and dependency mapping
2. Coexistence & Transition Planning
• Design of coexistence strategy (dual-platform access during transition)
• Mail flow, calendar interoperability, and identity synchronization planning
• Definition of phased migration waves (aligned to organizational rollout strategy)
3. Migration Execution
• Configuration of migration tools and service accounts
• Migration of:
o Email (Gmail → Exchange Online)
o Calendars and Contacts
o Files (Google Drive → OneDrive / SharePoint)
o Collaboration data (as applicable)
• Preservation of permissions, ownership, and sharing structures
4. Cutover & User Transition
• Development and execution of cutover plan
• DNS, routing, and final switch activities
• End-user communication and transition support via organization IT staff
• Hypercare support during initial adoption period via organization IT staff
5. Validation & Reporting
• Post-migration data validation and reconciliation
• Access verification across all services
• Issue remediation and re-migration (if required)
• Formal validation reports confirming data integrity
6. Knowledge Transfer & Handover
• Administrator training and documentation
• Operational runbooks and support procedures
• Best-practice recommendations for ongoing governance and optimization

Key Deliverables
• Comprehensive migration plan (timeline, dependencies, rollback strategy)
• Configured migration tooling and service accounts
• Completed migration of all targeted workloads:
o Mail, calendar, contacts
o Files (Drive → OneDrive/SharePoint)
o Permissions and sharing structures
• Validation and reconciliation reports
• Knowledge transfer sessions and documentation

Success Criteria
The engagement will be evaluated against the following outcomes:
• Zero data loss across all migrated workloads
• Minimal end-user disruption during transition
• Full access parity on Day 1 in Microsoft 365
• Validated data integrity and permissions accuracy
• High user adoption and successful transition to new tools

Required Experience
• Demonstrated delivery of enterprise Google Workspace → Microsoft 365 migrations
• Expertise with migration tooling (e.g., Microsoft-native or third-party platforms)
• Strong experience with:
o Exchange Online
o SharePoint Online & OneDrive
o Microsoft Teams
o Identity and access management (Azure AD / Entra ID)
• Proven ability to manage phased migrations and coexistence strategies
• Experience in gradual group/site based role out

• Contract-based engagement (project-based or phased)
• Must be available to support planning, execution, and post-migration stabilization
• Flexibility to collaborate and work, and if required together, with internal IT Team.
