Automated Healthcare ClickUp Workflows
Budget: $3,000 – $5,000 USD
I consult for a healthcare group and need our ClickUp space transformed into a set of purpose-built workflows that handle
• referral management
• insurance authorization management
• patient group attendance management
The goal is to move these processes out of spreadsheets and email threads and into ClickUp tasks, dashboards, and docs that run themselves as much as possible.
What I already have: a clean ClickUp hierarchy (Workspace, Spaces, and high-level folders) plus staff accounts with the correct permissions. What’s missing is the actual workflow logic—statuses, custom fields, views, automations, and AI-driven suggestions—to ensure nothing slips through the cracks.
Here’s what I’m after:
1. Clearly mapped task pipelines for each workflow, with custom statuses that mirror our real-world steps.
2. Automations that assign, notify, and move tasks based on triggers such as form submissions, due-date changes, or field updates.
3. ClickUp AI prompts or custom slash commands that speed up note-taking, insurance verification summaries, and referral letter drafting.
4. Dashboards showing daily referral volumes, auth turnaround times, and group session attendance rates.
5. A short Loom walkthrough (or similar) so my clinical coordinators know how to use everything on day one.
Acceptance criteria
• All three workflows can be triggered from specific integration points or triggers.
• Tasks auto-populate required custom fields and subtasks without manual setup.
• AI actions help review and classify tasks as they are created, including review of attachments.
• No task reaches a “stalled” status without an assignee and next action.
If you’ve built healthcare-focused ClickUp solutions before—or have strong automation chops with ClickUp’s native tools, Make, or Zapier—let’s make this system hum.
