Auto-Sync Website Chatbot Needed

Must Stay Up-to-Date Automatically (Auto-Sync with Daily Updates on our website).
What I Need
I want a chatbot for my company website that can:
• Answer common questions from visitors 24/7
• Help reduce repetitive inquiries to free up staff time
• Make it easier for people to find information on our website
• Allow Admin access to see chat history with full chat scripts
The most important point is:
--> The chatbot must always stay updated with the latest website content automatically.
We update our website content daily. I don’t want to copy-paste FAQs or manually update the chatbot every time something changes. The chatbot should either refresh its own “knowledge” automatically or pull answers directly (in real time) from the website so that users always get the most accurate and current information.

Where the Chatbot Will Be
• It should be available on all pages of the website.
• The design (icon, colors, fonts, chat window) should match my company’s branding.

If the Chatbot Can’t Answer
If the chatbot doesn’t know the answer, it should:
• Collect the visitor’s name, email, or phone number.
• Notify us so a staff member can follow up within 24 hours.

What I Expect From You (Freelancer)
1. Build and install the chatbot on my website (I can install it by myself, with the code you provide)
2. Make sure it can update itself automatically whenever we update the website content.
3. Clearly explain:
o Your cost for building the chatbot (one-time).
o Any monthly or yearly subscription costs for platforms/SaaS services needed to keep the chatbot running (that will be paid to SaaS services provider directly by ourself NOT to you).
4. Create all accounts (hosting, API, chatbot platform, automation platform etc.) under my company’s name.
o You must hand over all blueprints, automations, prompts, logics, all logins, passwords, and access details.
o After the project is complete, I don’t want any dependency on you to keep it running.
5. Provide simple documentation or instructions so we know how to manage it.

• If no answer is found, user details are collected and forwarded to staff.
• All accounts, logins, passwords, and subscriptions are handed over (no future dependency).
• Walkthrough, short training and documentation is provided so we can manage the bot ourselves.
• No delay in response, quickly answer questions without delay.
