Create a chat automated system

Create a chat automated system to allow people to refer customers by sharing Name and contact number of the customers. steps for chat as follows ( below is just the sample)
basically scope of work
A. Create the first sample system based on our requirement and also have its output saved in csv/excel
B. Give us the tool and host it on our external server, so that we can modify it as per our requirements in future and also capture the data so collected on our sever
C. Integrate the output of the bot from that server into our backend system server
D. Run the Test in a UAT environment first, if it works and then go live
E. also would need your help with training us on how to use your tool

The 5-6 key things we want incorporated in the tool
1. data of associate, customer as sample above
2. assocaite / csutomer able to fetch status of their customer themeselves
3. associate / custoemr provide us the documetns that we ask
4. Login of the case in which company
5. Approved / rejected
6. also have the above integrated into our website in the backend made in corephp and my data sql
