Cross-Platform Construction Estimating App
Budget: $5,000 – $10,000 USD
About K&M
K&M Concrete Construction Inc. is building a modern internal app for our estimating and project management team. The goal is to replace scattered spreadsheets and disconnected tools with a single source of truth and a highly usable, cross-platform workflow that helps our team move faster with fewer errors.
Platform approach (required)
We are committed to a Microsoft Power Platform implementation:
• Microsoft Power Apps for the application experience (PC and mobile)
• Microsoft Dataverse as the system of record (master lists, projects, history)
• Power Automate for workflow automation (notifications, approvals, reminders)
• Power BI for dashboards and reporting
What we’re building (high level)
We need a senior Power Platform designer/builder who can design an intuitive user experience and deliver a production-ready solution. The app must work well on desktop and mobile, be easy to move forward/backward in the workflow, and maintain master data with audit history.
This app must be:
• User friendly (fast, intuitive, minimal training)
• Easy to move forward/backward through workflows (clear navigation, state saved, no dead ends)
• A single master data system for shared lists (vendors, clients, project managers, etc.) that stays updated as we add records
• Able to remember history (audit trail / change history / past project history)
• Seeded from an Excel sheet we already have that contains most of the initial data and structure we expect you’ll need
Why this is not a simple screen build
We are not looking for pretty screens only. We are looking for senior product thinking and a durable data model in Dataverse that supports estimating + PM workflows, accountability, and history.
We want someone who:
• Can challenge assumptions, clarify what we don’t know, and propose better patterns
• Can design data-heavy workflows without making the app feel complex
• Understands construction estimating and PM realities (handoffs, due dates, checklists, approvals, addenda, revisions, accountability)
Core capabilities we expect (minimum)
1) Dataverse Master Data (Single Source of Truth)
Create maintainable master tables with governance:
• Vendors / subcontractors / suppliers
• Clients / GCs
• Internal team members (PMs, estimators, reviewers)
• Cost categories, bid templates, standard scopes, etc. (based on our Excel structure)
Requirements:
• Prevent duplicates (smart matching / normalization)
• Support attachments and notes
• Maintain change history (who/what/when) using Dataverse auditing
2) Projects + Estimating Workflow
• Create/manage a project from intake through bid submission
• Track status (pipeline stages) and key dates (bid due date, internal deadlines)
• Store core bid inputs, docs, addenda, notes, communications log (simple + fast)
• Handoffs between roles (e.g., PM/estimator to takeoff to review)
3) History / Audit Trail (Remember Past History)
We need the solution to remember:
• Prior projects and outcomes
• Revisions and estimate versions
• Changes to master data and key project fields (audit trail)
4) Cross-platform UX (PC + Mobile)
• Power Apps experience that works well on desktop and mobile
• Responsive design for canvas experiences where needed
• Model-driven app patterns where data-centric forms/views are best
• Navigation that supports forward/back without losing work
Power Automate workflow automation
We want automation to reduce manual follow-ups and missed steps:
• Reminders and notifications based on due dates and status
• Approval workflows for estimate reviews and thresholds (as needed)
• Logging of key workflow events (status changes, assignments, approvals)
Security and access
• Role-based security in Dataverse (who can read/write what)
• Controlled editing of master lists (governed updates)
• Audit visibility restricted to appropriate roles
Nice-to-haves
• Power BI dashboards (pipeline, win/loss, cycle time, KPIs)
• Integration-minded architecture (future connections to ERP/estimating tools)
• Offline considerations for mobile usage (where feasible)
Deliverables (what done looks like)
We want a professional, production-grade delivery.
Expected deliverables:
• 1) Discovery + workflow mapping (you lead us through what we don’t know)
• 2) Dataverse data model (tables, relationships, business rules)
• 3) Security model (roles, access boundaries, sharing strategy)
• 4) UX flows + wireframes
• 5) Power Apps build (model-driven and/or canvas where appropriate)
• 6) Power Automate flows (approvals, notifications, reminders)
• 7) Audit/history configuration and reporting approach
• 8) Testing, documentation, and handoff
• 9) Post-launch support (bug fixes + iteration plan)
What to include in your proposal
To be considered, please include:
• Examples of Power Platform solutions you have delivered (Power Apps + Dataverse)
• Experience designing both model-driven and canvas apps
• Experience with Dataverse security roles and auditing
• Experience building Power Automate approval and notification workflows
• Your recommended architecture and ALM approach (Solutions, environments)
• A suggested milestone plan (discovery → prototype → build → launch)
About our inputs
We already have an Excel workbook that documents most of the information we believe you’ll need to begin. We’re looking for a partner who can help us fill gaps, confirm assumptions, and turn our process into a clean, durable Power Platform solution.
