AI & No-Code Order Fulfillment Specialist (Grandparent Keepsake)

Project Summary
We are launching a unique personalized book product ("Grandparent Legacy Keepsake"). We need a highly organized and efficient specialist to manage our end-to-end order fulfillment pipeline, which relies on a No-Code technology stack (Canva, Zapier, Typeform, LLM APIs).
This role is critical for transforming structured customer input into a final, print-ready file through a combination of light manual design work and automation management.
Key Responsibilities & Workflow
The successful freelancer will be responsible for the entire process, starting from order confirmation through to print submission.
1. Automation Monitoring & Input Processing
• Monitor: Track incoming orders and submitted customer input forms (via Google Sheets/Airtable, integrated with Zapier/Make.com).
• AI Trigger: Ensure the automated Zapier steps successfully send the customer's 12 Milestone answers to the LLM API for narrative generation.
• Review: Lightly review the AI-generated text for immediate errors, brand tone, and flow before moving to design.
2. Manual Design & Layout (The Core Task)
• Template Customization: Copy and paste the final AI-generated story text into our pre-designed Canva template (60 pages).
• Image Placement: Manually crop and place the customer's uploaded photos into the corresponding pages within the Canva template to ensure a professional look.
• Proofing: Generate a digital proof for the customer (if required) or confirm the design meets all print standards (margins, bleed, trim).
3. Print Fulfillment
• File Export: Export the final, high-resolution, print-ready PDF and cover files from Canva.
• Manual Upload: Manually upload all files and customer shipping information to our chosen Print-on-Demand (POD) partner's platform (e.g., Blurb, Lulu, or similar web interface).
• Tracking: Update the order status and tracking number on our sales platform (Shopify/Etsy).
Required Experience & Qualifications
• Expertise with Canva: Must be highly proficient in using Canva for multi-page document layout, image cropping, and generating print-ready PDFs.
• No-Code/Automation: Practical experience using Zapier or Make.com to connect forms, spreadsheets, and APIs.
• LLM Familiarity: Experience using ChatGPT or other LLM interfaces (no coding required, just strong prompting skills) to generate and edit structured content.
• Detail-Oriented: Exceptional attention to detail to ensure perfect typography, image placement, and adherence to print margins.
• Fulfillment Experience: Prior experience using major POD platforms (Lulu, Blurb, IngramSpark, etc.) or general e-commerce order management (Etsy, Shopify).
