Subject: Request for Proposal – Automated Reading and Processing of Technical Drawings

Dear ,

I am reaching out with a request for the development of a tool for automated reading and processing of technical drawings and related documents.
The goal is to streamline the preparation of documentation for quotations and orders, speed up work with technical drawings, and ensure direct integration into our internal systems (Unishop, UMobil, ERP K2).

Scope of Requirements

We expect the project to be divided into several phases:

Phase 1 – Reading drawings and generating outputs

Input: files in DXF, DWG, STEP, PDF, BMP, JPG, TIF, PNG formats.

Process: the user saves drawings into a prepared folder; the application processes them and stores the results in the same folder.

Outputs: JSON/XML and XLSX with structured information.

Extracted data:

Bill of Materials (BOM):

Part number.

Quantity.

Material (grade, standard).

Material thickness [mm].

Dimensions (length, width).

Net weight (optional, not required).

Technical details:

Operations – all technological operations (bending, machining, welding, surface treatments, heat treatments, engraving, cutting, etc.).

Technical details – symbols according to standard machine tables, roughness, tolerances, details, title block.

Notes – transcription of all texts from the drawings (rolling direction, marking, special requirements).

Phase 2 – Processing the complete source inquiry

Loading the entire inquiry (e.g., e-mail with attachments).

Matching attachments with items in the message text.

Creating complete documentation for a quotation/order (BOM, technical specification, drawings, notes).

Phase 3 – Drawing comparison

Comparing drawing versions (DXF/DWG vs. PDF/TIFF/JPG).

Checking for differences in geometry, dimensions, and title block.

Output: a difference report and visual highlighting of changes.

Phase 4 – Preparing DXF for cutting

Validation and adjustment of DXF according to our technological rules: correct layers, closed contours, removal of duplicates, conversion of splines to polylines, preparation for cutting and engraving.

Testing and Acceptance Conditions

We will provide a set of test drawings (DXF + PDF/JPG/TIFF), including paired files for comparison testing.

For Phase 1, we expect the system to produce outputs (JSON/XML/XLSX) from these drawings that are:

complete,

error-free,

and consistent (i.e., each drawing → corresponding output with 100% correct structure and readability).

Acceptance condition: flawless test results on the provided set:

all BOM items correctly extracted,

all operations and technical details correctly identified,

notes fully transferred.

Any error in the output (missing item, incorrect data, unreadable file) will be considered a failed test.

Materials We Will Provide

Sample drawings (DXF + PDF/JPG/TIFF), including pairs for comparison.

An example of a complete source inquiry with attachments.

Rules for preparing DXF for cutting (layers, tolerances, minimum diameters).

Material and thickness lists, ERP mapping tables.

Our Expectations

In the first phase, a simple implementation: folder → drawing → JSON/XML/XLSX in the same folder.

Gradual extension to further phases as agreed.

Clear and structured output format suitable for ERP integration.
