SMARTSHEET - Custom Budget Tracking in SMARTSHEET
Budget: $250 – $750 USD
I'm seeking a skilled professional who can create a highly customizable smart sheet for budget tracking. This involves incorporating data analysis, automated calculations, and real-time collaboration features. The smart sheet will be utilized primarily for budget tracking purposes for a remodeling/new construction company.
Key requirements:
-Have design smart sheets for a contractor/subcontractor business in the past
- Design and implement a highly customized smart sheet for budget tracking
- Incorporate data analysis, automated calculations, and real-time collaboration features
- Ensure the sheet is tailored to fit specific business processes of our remodeling company
Ideal skills and experience:
- Proficiency in smart sheet creation and customization
- Strong understanding of budget tracking processes and best practices
- Experience in incorporating data analysis and automated calculations in smart sheets
- Ability to create user-friendly and efficient real-time collaboration features in the smart sheet
- Proven track record in tailoring smart sheets to fit specific business processes
Desired Spesific outcome:
PROJECT SHEET(contract amount)
-Have the ability to have multiple workers take pictures of receipts, select category of expense and have them imported into the correct remodeling project sheet
-Have the ability to take pictures of contracts and import project contract price amount to project sheet
-Have the ability to take pictures of change orders and import change order amount to project sheet
-Have the ability to take pictures of deposit checks/payment checks from customers and track deposit payments in the project sheet
-Have the ability to calculate profit for the project in the project sheet
-Have the ability to see simple project schedule in the project sheet.
PROJECT SHEET(Materials/Labor + Fee)
-Have the ability to share share project sheet with customer.(If job is Materials plus our fee). So when setting up a new project the system should ask if this is a "fee + materials job" or "straight contract amount")
-If this is a materials plus fee then we want to have the ability to take pictures of deposit checks(for materials) and upload into project sheet.
-Have the ability to see money given by customer for labor and materials and when the balance between what they gave and what we spent falls below for example $10,000 then have the balance of customers money given turn red so we could ask for more money.(we want to have at least for example 10k of customers money.
PRIFIT FOR YEAR SHEET
-Once project is 100% completed have a check mark that would be marked that would then pull the info into another sheet that would add up all profit from projects for the year.
-Have the ability to break up profit from project between two years if needed by percentage(example: 30% goes for one year and 70% goes towards another year)
OPERATING EXPENSES SHEET
-Have the ability to take pictures of receipts for operating expenses for business and import them into an operating expense sheet for the year by month.
PROFIT AND LOSS STATEMENT
-Have the income from each month for the year and operating expenses for each month for year import into a Profit and loss statement that can be shared/printed.
WORKER EXPENCE REPORT SHEET
-Have the ability to run a report of all expenses each worker entered
EXPENSE APPROVAL REPORT BY OWNER
-Have to have to have all expenses over imported to the project sheet over a certain amount like $250 to require approval by an owner by check marking it and then this expense disappears from this sheet.
EXPENSE REVIEW REPORT BY ACCOUNTANT
-Have to have to have all expenses imported to be reviewed and compared to bank statement and check marked by accountant. Once check market they disappear from the sheet.
EXPENSE REVIEW REPORT BY ACCOUNTANT FOR OWNER
Once accountant confirms the expenses with bank statement and puts a check mart next to the imported expense the system needs to create a report letting me know date and time the accountant has check marked the expense as reviewed with bank statement. And also expenses that are still not check marked. All expenses that are for example 10 days old after them have been entered by workers need to turn red as late.
ARCHIVE ALL DOCUMENTS PDF SHEET
-Have the ability to convert all projects, with copies of receipts, copies of checks, operating expenses & profit statement info 1 PDF document that could be stored for a possible tax audit.
AUTOMATICALLY START NEW YEAR
-Have the ability to start new year and automatically set up new sheets
ALL YEARS PROFIT SHEET
-Have number or projects and profit for each year import into the all years profit sheet.
