Corporate Summit Event Proposal & Budgeting Expert

I am in need of a skilled event proposal writer with a strong background in creating detailed event budgets and building presentations.
We are submitting a proposal for the FIFA Football Executive Summits 2025, taking place at the Grand Beach Surfside Hotel in Miami from June 15-24, 2025.
Given the scale and complexity of this project, we are seeking a highly experienced consultant to assist in developing a comprehensive, competitive, and well-structured proposal. Specifically, we are looking for expertise in technical infrastructure, event production, and large-scale event logistics, creating budgets and creating a dynamic presentation to ensure that our submission meets FIFA’s high standards.
Scope of Work for Consultant
The selected consultant will be responsible for:
✅ Developing the proposal – Aligning with FIFA’s outlined requirements for event production, technical execution, and overall logistics.
✅ Creating a detailed budget – Using FIFA’s budget template, ensuring cost accuracy for all sections, including labor, production, logistics, and materials.
✅ Ensuring compliance – Reviewing FIFA’s requirements (technical, branding, staffing, and logistics) and structuring the proposal to meet all compliance and solvency criteria.
✅ Identifying key vendors – If needed, helping to source and recommend vendors or partners for specific areas such as A/V, branding, or event execution.
✅ Coordinating with our team – Working closely with Event Rhythm Productions to ensure all elements align with our capabilities and brand standards.
✅ Proposal writing & final submission – Crafting a compelling, professional document that reflects FIFA’s expectations and showcases our expertise.
Project Scope
FIFA’s Request for Proposal includes three primary sections, and we are looking to outsource the development of the proposal in at least one or more of the following areas:
• Section A: Technical Solution & Production – Stage setup, audiovisual production, branding & signage, and all related technical aspects.
• Section B: BBQ Dinner Party – Thematic concept development, décor, furniture, entertainment, and hospitality planning.
• Section C: Beach Soccer Experience – Pitch setup, branding, staffing, and operational logistics.
