Boston Corporate Off-Site Planner
Budget: $75 – $125 USD
I’m putting together a week-long corporate off-site in Boston for 25 executives and need one seasoned professional to take full ownership of the event from planning through execution. You will support the agenda, secure and liaise with venues—primarily conference center and hotels, with restaurant and entertainment bookings folded in—and handle logistical detail along the way.
What is already planned:
- Hotel is Booked
-Airfare is scheduled
-Conference room is booked
-Conference meeting agenda and strategy
Scope of work
• Map out a balanced schedule that blends the business agenda, team-building moments and evening networking or social functions.
• Ensure the conference room/venue is ready and organized (A/V, catering, décor, transportation, meeting room setup).
• Manage guest communications before, during and after the event, including dietary surveys and on-site check-in.
• Oversee on-site execution throughout the week, acting as the single point of contact and troubleshooting in real time.
Deliverables
1. Detailed event plan and budget tracker.
2. Confirmed venue and vendor contracts with timelines and contacts.
3. Finalized agendas, attendee packets and Welcome baskets
4. On-site management for the entire week, followed by a wrap-up report outlining outcomes, feedback and recommendations.
