Experienced Freelance Bookkeeper Needed – Full-Cycle Accounting & Merchant/Payment Portal Management for Established Financial Services Firm

Okuno Associates is a long-standing financial services firm based in Pasadena, California. We help clients with retirement planning, estate strategies, and wealth management. Our current bookkeeper is departing soon, and we need a reliable, experienced freelance bookkeeper to take over full responsibility for the company’s day-to-day and monthly accounting without interruption.
What You’ll Handle

Complete bookkeeping and accounting for the firm (accounts payable/receivable, bank reconciliations, general ledger, month-end closes, financial reports)
Management of merchant accounts and payment portals (transaction monitoring, reconciliations, fee tracking, dispute handling, and ensuring accurate recording of client and firm payments)
Tracking and recording of revenue, expenses, and client-related financial activity
Maintaining organized digital records and preparing clean reports for review
Supporting basic compliance and documentation needs related to our financial services operations
Occasional coordination with our tax professional or external advisors as needed

Ideal Candidate

Proven experience (preferably 3+ years) as a bookkeeper or accountant, ideally with small-to-midsize service or professional firms
Comfortable owning merchant account / payment gateway processes (e.g., credit card processors, online payment portals)
Proficient with common bookkeeping software (QuickBooks Online preferred; others welcome)
Detail-oriented, accurate, and able to work independently with clear communication
Reliable availability for ongoing part-time or project-based work that can grow into a steady long-term relationship
Preference for candidates who can start relatively soon and handle a smooth transition from the outgoing bookkeeper

Engagement Details
This is a freelance/remote opportunity. We are looking for someone who can step in as the primary bookkeeper and build continuity for the firm. Hours and schedule will be discussed based on mutual fit; we value consistency and clear communication over rigid clock-watching.
