Project Objective
We are engaging a Zoho consultant to design and implement an integrated, efficient sales and marketing system for our IT services company using Zoho CRM Plus. The objective is to streamline contact management, email outreach, marketing automation, and lead nurturing workflows within the Zoho ecosystem, focusing on Zoho CRM, Campaigns, Marketing Automation, Forms, and Analytics.

Project Scope & Milestones

Milestone 1: CRM Foundation Setup
• Import ~11,000 contact records into Zoho CRM.
• Deduplicate contacts and segment by industry, region, and job title (if available).
• Create 3 user profiles (Sales Reps) and distribute contacts evenly.
• Define user roles and permissions in CRM.
Deliverables:
• Fully cleansed and imported contact database.
• Users assigned roles and segmented contact ownership.

Milestone 2: Outbound Email Campaign – 5-Week Drip Sequence
• Design and automate a 5-week outbound email drip campaign via Zoho Campaigns or Marketing Automation.
• Include light personalization using merge tags/dynamic fields.
• Implement engagement tracking (opens, clicks, replies).
• Trigger automated tasks or follow-ups based on interaction.
Deliverables:
• Drip email templates created and loaded.
• Campaign logic tested and deployed.
• Real-time campaign dashboard built for performance tracking.

Milestone 3: Monthly Newsletter Framework
• Configure monthly email newsletter within Zoho Campaigns.
• Ensure contact opt-in compliance using Zoho’s consent management tools.
• Develop a reusable newsletter template.
• Schedule and launch the first newsletter broadcast.
Deliverables:
• Newsletter system ready for monthly use.
• First edition built and scheduled.

Milestone 4: Lead Magnet Funnel (White Papers & Use Cases)
• Build gated forms using Zoho Forms or Marketing Automation for downloadable assets (PDFs, white papers).
• Integrate forms in email campaigns, landing pages, and social ads.
• Automate follow-ups:
o Deliver content instantly upon form submission.
o Tag/segment engaged contacts.
o Route leads into nurturing workflows or assign to sales reps.
Deliverables:
• Funnel system fully configured and tested.
• Automated asset delivery and engagement tracking operational.
• Contact segmentation based on interest/download behavior.

Milestone 5: Reporting, Dashboards & Team Training
• Set up reporting for:
o Email and campaign performance
o Funnel progression and conversion rates
o White paper downloads and lead source analysis
o Sales rep activity and deal pipeline tracking
• Conduct training session(s) for internal users.
• Provide documentation for ongoing use and management.
Deliverables:
• Custom dashboards live in Zoho Analytics.
• Recorded or live walkthrough provided.
• SOPs and documentation delivered.

Desired Consultant Qualifications
• Demonstrated success implementing Zoho CRM Plus, particularly Zoho CRM, Campaigns, Marketing Automation, Forms, and Analytics.
• Proficient in sales/marketing workflow automation and contact segmentation.
• Experience with B2B and IT services client personas.
• Strong communicator with the ability to deliver on time.
