SharePoint AI Summary Automation
Budget: $30 – $250 USD
Our pediatric therapy clinic maintains all therapist session notes and patient progress reports within a secure SharePoint Online portal. We are seeking an AI-driven solution that operates natively inside our Microsoft 365 tenant to automatically generate role-based summaries of newly added clinical documentation.
The system will perform scheduled weekly, monthly, and quarterly sweeps of designated SharePoint document libraries to identify newly uploaded therapist notes. For each eligible file, the agent will produce:
A concise, clinically written summary for the referring physician
A second, plain-language version designed for parent comprehension
The solution will focus strictly on text summarization. No data extraction, predictive analytics, or pattern analysis is required at this stage.
Functional Requirements
The workflow must run unattended using Microsoft-native tools where practical, including Power Automate, Azure OpenAI, Microsoft Graph API, and SharePoint Framework (SPFx).
All processing and data handling must remain fully contained within our Microsoft 365 tenant to support HIPAA compliance and protected health information (PHI) security.
Each processed file must be automatically tagged or marked as “summarized” to prevent duplicate processing.
Generated summaries must be delivered securely to their intended recipients, ensuring that clinical and parent-facing versions are never exposed to the wrong audience.
Original source files must remain unaltered.
Acceptance Criteria
From a test SharePoint library containing sample therapist notes, the system generates two paragraph-style summaries—one clinical and one parent-friendly—within 60 seconds per file.
Summaries are successfully delivered to physician and parent inboxes according to the configured weekly scheduling cadence.
Files that have been processed are clearly labeled or tagged to indicate completion and are excluded from future runs.
Deliverables
Fully documented source code and configuration files
Step-by-step deployment and setup documentation for internal IT administrators
A short technical training video demonstrating system operation, maintenance, and modification workflows
