The Role Overview
We are seeking a highly disciplined IT & Automation Systems Specialist to lead the next phase of our technical evolution.
As SmartSetter scales, we are separating our core infrastructure management from our high-level automation strategy.
This is a critical, high-execution role designed for a candidate who wants to own the operational side of our tech stack.
You will work closely with our current IT management to master our environment, with a clear professional development track to take full ownership of the department’s systems and specialized technical projects as the team expands.
The successful candidate will be a technical "player-coach"—someone who is equally comfortable architecting high-level automations as they are resolving daily technical support inquiries.
Key Responsibilities
System Administration: Maintain and optimize our core technology stack, including GSuite, HubSpot, DNS management, WordPress, Zoho CRM, Zoho Projects, Zoho Desk.
Automation & Integration: Act as the internal architect for automation; designing, deploying, and troubleshooting complex workflows using Zoho, Zapier and Airtable to ensure seamless data flow across the organization.
Technical Support & Triage: Serve as the primary point of contact for internal technical issues, ensuring minimal downtime and rapid resolution of hardware and software hurdles.
Infrastructure Oversight: Manage API configurations and web services to enable robust communication between various software platforms.
Security & Compliance: Implement and monitor rigorous security protocols to safeguard organizational assets and ensure data integrity.
Departmental Scaling: Maintain comprehensive technical specifications and SOPs to ensure that as the IT and Automations function grows, our processes remain scalable and efficient.
Professional Experience: 3–5 years of experience in IT systems integration, automation, or a related technical role.
Analytical Problem Solving: A demonstrated ability to diagnose complex technical issues and implement sustainable, long-term solutions.
Execution Focus: A proven track record of "hands-on" technical involvement. We are looking for an individual who prioritizes output and operational uptime.
Qualifications & Experience
Professional Experience: 3 years of experience in IT systems administration or systems engineering. At least 2 of those years must be specifically focused on low-code/no-code automation and API integrations (Zapier, Make/Integromat, Zoho Flow, or similar).
Education: A Degree in Computer Science, Information Technology, or Business Information Systems is preferred. However, significant professional experience (3+ years) and relevant advanced certifications (e.g., AWS Certified SysOps, HubSpot Architect, or Zapier Expert) will be considered in lieu of a degree.
Technical Proficiency:
Advanced Logic: High understanding of conditional logic, webhooks, and JSON.
Data Management: Strong experience managing relational databases (Airtable, MySQL, Zoho CRM data structures) and maintaining data integrity across synchronized platforms.
Cloud Ecosystems: Deep familiarity with AWS infrastructure and the security implications of cloud-based automations.
Leadership Readiness: Previous experience in a "Lead" or "Senior" capacity—even if not a formal manager—where you were responsible for technical project delivery or mentoring junior staff.
Communication: Exceptional ability to document complex "If/Then" logic into clear, readable SOPs for non-technical leadership.
Remote Environment: Proven ability to work autonomously and maintain high output in a 100%
