PDF to Software Data Automation

Copy data from PDF estimate, look up database data, consolidate variables & have data typed into a proprietary software.

The automation has to pull both numerical and text data directly from the PDF, call up matching records in a spreadsheet-based database for confirmation, then merge the customer information together with the estimation details before populating every required field inside the software as if a human were typing.

You are free to choose the most reliable stack, windows power automate, Python with PyPDF2 or pdfplumber, UiPath, AutoHotkey, or another RPA tool—as long as the final solution:

• lifts every needed value from the PDF with high accuracy
• performs the lookup against the spreadsheet instantly and flags any mismatches
• consolidates the customer information and estimation details exactly as shown in the business rules I’ll supply
• navigates the proprietary program through keyboard or UI automation and submits the record without leaving stray windows open

I’ll provide sample PDFs, the master spreadsheet, screen recordings of the manual process and a sandbox login. Completion is accepted when the bot processes ten diverse test files in a row with zero data errors and a full activity log is produced so I can audit what happened at each step.
