Lead Management System Development

We are seeking an automation expert to build and optimize a complete lead management and follow-up system, integrating the following tools:

Airtable (CRM database)

Make.com (formerly Integromat, for automations)

Vapi.ai (voice AI dialer)

WhatsApp via ManyChat (chatbot & follow-up messaging)

SMTP/Email provider (e.g., Roundcube)

“Living Memory” for each lead: full call, email, and WhatsApp history stored and visible in Airtable

You’ll be responsible for:

Connecting, automating, and error-proofing the full workflow (from new leads to calls to follow-ups and chat)

Ensuring all call and message transcripts are stored, linked, and accessible (“living memory”)

Documenting logic, API calls, and field mapping for future expansion

You must be:

Experienced with Make.com and Airtable automations

Confident with webhook and API integrations (Vapi, ManyChat, email)

Able to document and communicate clearly

Bonus:

Previous work with Vapi or ManyChat

Demonstrated experience in CRM/lead management build-outs
