Project Brief: Automation and Chatbot Integration for Funeral Committee Payment System
We are seeking an experienced automation specialist to overhaul and streamline the payment verification process for our Community Funeral Committee. This is an urgent requirement, and we expect the successful candidate to begin immediately following a short phone call to confirm the scope.
Project Scope
The current process is fully manual and involves:
• Downloading bank statements (CSV format)
• Matching payments against unique membership numbers
• Updating a master Excel register with:
• Amount paid
• Payment status (“Yes” or “Incomplete”) on a linked tab
• Manually updating a public-facing Google Sheets, embedded in our basic Google Sites website
Deliverables
The proposed solution should:
• Automate data extraction from the bank CSV file
• Match and verify payments against existing membership numbers
• Auto-update the master Excel database and linked Google Sheet
• Ensure compatibility with Windows OS and Google Sites
• Minimise manual input (ideally only downloading the CSV)
• Format the data consistently and robustly
• Be scalable for future growth
Additional Feature Required
A web-integrated chatbot that:
• Responds to basic queries about the funeral scheme
• Allows members to enter their membership number
• Provides real-time updates on their payment status
Required Skills
Applicants must demonstrate experience with:
• Excel automation and scripting
• Google Sheets API and syncing with Excel or cloud storage
• Python for data processing and workflow automation
• Chatbot development (e.g. Dialogflow, custom Python bots)
• Building scalable, robust, and secure automation systems
• Integration with Google Sites or other lightweight web platforms
