Full-Time Automation Operations Coordinator Needed

TITLE
Full-Time Automation Operations Coordinator - Run & Improve Our Marketplace System (Make.com / Meta / SMS)
PROJECT TYPE
Full-time, ongoing (long-term hourly). This is a recurring role, not a one-off project.
ABOUT US
We're an Australian home-services marketplace (lawn mowing, expanding to more services). We connect customers with local contractors through an automated system built on Make.com, Meta Lead Ads, an SMS platform (TextMagic), Stripe and Google Sheets. The engine is built and running - we now need someone to own the day-to-day running of it AND help drive its improvement.
THE ROLE
You'll do two connected things:
1. Run the day-to-day operations
- Process incoming customer enquiries and send estimates
- Dispatch jobs to contractors and manage the claim process
- Keep jobs moving, follow up where needed, keep records clean
- Monitor the automations and catch anything that breaks
2. Drive how the system improves
Because you're the one living in the system every day, you'll be the one who spots where it's slow, clunky or breaking. You'll document those problems, prioritise them, and work directly with our automation developer to get them fixed and built into our next version (v2). You're the bridge between "what's actually happening day to day" and "what the system should do better."
WHO WE'RE LOOKING FOR
- You understand automation stacks - Make.com (or similar: Zapier, n8n), webhooks, APIs. You don't need to be a senior engineer, but you must be able to hold a real technical conversation with our developer, not just click buttons.
- You've run daily operations on tools like Meta Lead Ads and an SMS platform.
- You're organised and proactive - you notice problems, write them up clearly, and drive them to resolution rather than waiting to be told.
- You communicate clearly in English and are reliable with daily hours.
- Bonus: experience with marketplaces, dispatch/booking systems, or lead-generation platforms.
YOU'LL WORK WITH
Our automation developer (who builds the scenarios) and the founder. You'll own operations and the improvement list; the developer owns the heavy building. Clear lanes, close coordination.
