Full Acctivate Inventory Implementation
Budget: $1,500 – $3,000 USD
I run a We are a high‑volume agricultural parts and chemical supplier looking for an experienced freelancer to set up Acctivate, integrate it with QuickBooks Online, and import/clean our product and customer data.
We already have a complete system blueprint — your job is to execute the plan, clean the data, and configure Acctivate so our business can run smoothly.
This is NOT a generic data entry job. We need someone who understands:
• Inventory systems
• Vendor catalogs
• SKU mapping
• Pricing levels
• Purchasing workflows
• QuickBooks Online integration
If you’ve worked with Acctivate before, that’s a huge plus.
Scope of Work
1. Acctivate Setup
• Configure company settings
• Connect to QuickBooks Online
• Set up warehouse (single location)
• Create category structure
• Configure terms (Net‑30 default)
• Configure tax settings
2. Data Cleanup & Preparation
You will clean and prepare the following:
Vendor Catalogs
• TeeJet (Excel + PDF extraction)
• Midland (CSV + Excel)
• Ace Pumps (Excel + catalog extraction)
Internal Parts List
• Provided in PDF
• Convert to Excel
• Clean part numbers & descriptions
• Assign categories
• Map vendors
Customer List
• Clean messy data
• Remove duplicates
• Assign pricing levels
• Assign terms (Net‑30)
• Assign tax status
3. Data Import
• Import items
• Import vendor catalogs
• Import customers
• Set up pricing levels
• Set up category‑based discounts
• Set up customer‑specific pricing (if needed)
4. System Logic
• Build cross‑reference links (equivalent parts, old→new numbers)
• Configure purchasing automation (min/max, lead times)
• Configure vendor cost comparison
• Configure receiving workflow
5. Testing & Training
• Test sales orders (phone, counter, email)
• Test purchasing
• Test receiving
• Test QBO sync
• Provide simple training for staff (screenshots or short video preferred)
Requirements
Must Have
• Experience with Acctivate (or similar inventory systems)
• Experience with QuickBooks Online
• Strong Excel skills
• Ability to clean messy data
• Ability to extract data from PDFs
• Understanding of inventory, purchasing, and pricing workflows
Nice to Have
• Experience with agricultural parts, pumps, fittings, or chemical distributors
• Experience building SKU systems
• Experience with cross‑reference catalogs
Deliverables
• Fully configured Acctivate system
• Clean imported product catalog
• Clean imported customer list
• Pricing engine set up (Retail, Dealer, Distributor, Government)
• Purchasing automation working
• QBO sync functioning
• Staff trained on basic workflows
