Excel WhatsApp Dispatch Automation

Job ID: 39829505

Budget: $30 – $250 USD

I keep every airport-transfer booking in a single Excel workbook. The sheet already holds driver details, flight numbers and scheduled pick-up times, and I still assign each job manually there. Bookings flow in from email, online portals and the odd phone call, so Excel is—and must remain—my only reliable source of truth.

What I need is an automation layer that watches the workbook, pulls the latest row data and handles all driver communication through WhatsApp. As soon as I tag a row “assigned”, the system should:

• fire an immediate WhatsApp message to the selected driver with passenger name, flight number, terminal, pick-up time and any notes
• subscribe to a flight-status API so the same chat thread notifies the driver if the flight is delayed, lands early or is on approach
• send timed reminders: one hour before scheduled landing, at “flight landed” and again if the passenger hasn’t appeared after 30 minutes

Key expectations
• Everything starts with Excel—no extra data entry, no web dashboard
• WhatsApp Business API (or approved gateway such as Twilio) is used, so messages are reliable and template-compliant
• The solution runs unattended on my Windows 11 machine or a small cloud instance; set-and-forget once deployed
• Clear, commented code and a one-page hand-over doc so I can update API keys or row mappings without calling you every time

Acceptance will be based on:
1. A demo workbook triggering live WhatsApp messages to a test number.
2. Accurate flight alerts for at least three airlines using real-time data.
3. No missed or duplicate messages during a 24-hour simulated run.

If you’re comfortable wiring Excel (VBA, Power Automate, Python or similar) to WhatsApp and a flight-tracking API, let’s get this moving.
