Email Automation System Optimization

Project Overview:
I already have the core workflow set up in n8n for an email outreach system. The workflow connects to Apollo, uses Gmail for sending, and is designed to run automated outreach sequences.

The challenge is: I cannot get everything connected and working reliably. I need an experienced automation freelancer to finalize, connect, and optimize the workflow, as well as add reporting and documentation so it can be reused for clients.

What I Need
1. Finalize Workflow Setup
• Connect Apollo API properly (no CSV uploads, direct integration).
• Ensure Gmail sequences run correctly with personalization and follow-ups.
• Make sure the sequence stops when a lead replies.
2. Add Reporting System
• Weekly automated report (emails sent, replies, positive responses).
• Reports sent via email to the client and also logged into Google Sheets.
3. Error Handling
• Add error reporting (e.g., email if a step fails).
• Add retries or fallback logic for failed steps (e.g., API timeouts, Gmail limits).
4. Documentation & Handover
• Write step-by-step documentation for running the system.
• Include troubleshooting guide (e.g., what to check if Apollo or Gmail disconnects).
5. Client Setup Support
• Be available to set up the workflow for a client (connect their Apollo, Gmail, etc.).
• Goal: a system that is ready to sell as a “done-for-you product.”

Candidate Requirements
• Experience with n8n automations (or Make/Zapier at a high level).
• Solid understanding of Apollo API and Gmail API.
• Knowledge of AI personalization with OpenAI or similar (preferred).
• Ability to document workflows clearly for non-technical users.
• Reliability — I may need you for client setups in the future.
