Project Description
I run an AI automation agency and need a modular, white-label AI receptionist system that can be customized and deployed for multiple businesses.
The first version will serve as a demo for a roofing company, but the framework must be reusable so I can duplicate it, change the FAQs, update the business name, and connect a different calendar for other clients (for example, med-spa, HVAC, cleaning services, etc.).
The AI receptionist should sound natural and professional, capable of answering inbound calls, handling FAQs, booking appointments, and automatically sending lead information to a spreadsheet or CRM. The system should be built using no-code or low-code tools so I can modify it myself later.
Core Requirements
AI Voice Layer:
Use Vapi or Retell.ai for realistic inbound and outbound calls.
Greet callers, detect intent, handle FAQs, and collect details such as name, phone number, address, and reason for the call.
Include logic for escalation, such as warm transfer or voicemail.
Dialogue Logic:
Built in Voiceflow (or a comparable no-code tool).
Clearly organized and labeled so I can edit prompts and responses per client.
Maintain a professional, conversational tone.
Knowledge Base / FAQ System:
Source from Google Sheets or Airtable for easy editing.
Must be fully editable per client (no hard-coded text).
Appointment Booking:
Integrate with Google Calendar or Calendly.
Allow easy substitution of the booking calendar for each client.
Automation and Data Handling:
Use Make.com (or n8n) for automations and webhooks.
Handle appointment creation, lead logging, and call transfer events.
Store caller information in Google Sheets or via webhook to CRM.
Technical Preferences
Tools: Vapi / Retell, Voiceflow, Make.com / n8n, Google Sheets / Airtable, Google Calendar / Calendly.
Must be simple to duplicate and maintain without additional coding.
Include documentation or a short Loom video showing how to:
Edit the FAQ database.
Change the calendar integration.
Duplicate the system for a new business.
Deliverables
Voiceflow (or equivalent) project file with clear logic and fallback handling.
Make.com scenario(s) that manage booking, lead logging, and call routing.
Deployment instructions for Vapi / Retell, including configuration details.
Editable FAQ database (Google Sheets or Airtable).
Loom video walkthrough showing setup, customization, and duplication steps.
Bonus Considerations
Prior experience building AI receptionists or voice assistants.
Familiarity with both Voiceflow and Vapi / Retell.
Ability to include an outbound call follow-up workflow (optional).
