Custom Retellai Phone Receptionist Automation
Budget: $250 – $750 USD
I want a fully-automated Retellai phone receptionist that draws live data from two Google Sheets and routes every call through Make (Integromat). The first sheet pairs each salesperson’s name with the phone number to which their calls should be transferred; the second sheet tracks listing IDs and whether they are currently available.
Here is what the agent must do on every call:
• Greet the caller, listen for a salesperson’s name, and use the first sheet to trigger an immediate warm transfer to that number.
• If the caller asks about a listing, read the availability flag in the second sheet and answer with a simple “yes” or “no.” When a listing is available, the agent then transfers the call to the number stored for that listing.
• Whenever a transfer target is busy, after hours, or otherwise unreachable, the agent collects a voicemail-style message (name, number, reason for call) and emails the details to a single lead-capture inbox.
You may build the conversation flow directly inside Retellai, but I will rely on Make for the data look-ups, call handoff, and email dispatch, so your scenario needs clean, documented steps I can maintain later.
Acceptance criteria
1. Live test where I call in, ask for two different salespeople, and watch the transfers fire correctly.
2. Live test on one available and one unavailable listing to confirm accurate “yes/no” responses and correct ring-through.
3. Simulated after-hours test proving the message capture and email sends with the caller’s transcript.
Deliver the finished Retellai agent, the Make scenario (export link or blueprint), a short setup guide, and any custom webhooks or API keys I need to populate. Once everything passes the three tests above, the project is complete.
