I’m laying the groundwork for a growing agency and need a solid automation framework that ties our sales cycle directly into daily operations. The first priority is sales automation—capturing leads, qualifying them, and moving opportunities through the pipeline without manual hand-offs. From there, the same data needs to flow seamlessly into client onboarding, project management, and billing so nothing is re-entered or falls through the cracks.
Here’s the picture I have in mind: leads arrive through web forms, ads, or social channels and are logged instantly in the CRM. Tailored email sequences, task reminders, and deal stage updates fire automatically. Once a proposal is accepted, the system should open the client folder in our project tool—creating tasks, timelines, and team assignments—while simultaneously generating the first invoice and scheduling ongoing billing. Throughout, stakeholders get real-time notifications in Slack (or a similar channel), and dashboards keep everyone on performance targets.
I’m flexible on the exact stack as long as it plays well together. HubSpot, Pipedrive, Salesforce, or a comparable CRM, linking with tools such as Mailchimp, ActiveCampaign, Zapier/Make, Airtable, Asana, ClickUp, Stripe, and QuickBooks are all on the table. If you have a proven blueprint that minimises subscription overlap and can be rolled out quickly, that’s ideal.
Deliverables (acceptance criteria):
• Automated sales pipeline with lead capture, scoring, and stage-based email/workflow triggers
• End-to-end client onboarding workflow that launches project templates and assigns team tasks automatically
• Billing and invoicing flow that pulls deal data to generate one-off or recurring invoices and tracks payment status
• Clear documentation and loom-style walkthrough so the team can maintain and extend the system
