Build a Core Automation Agent for Private Trust Admin (Python + Excel)
Budget: $750 – $1,500 AUD
I require a developer to build a core automation agent that manages bookkeeping and clerical tasks for a Private Trust and Sole Trader.
The agent’s purpose is to:
• Watch folders for new inputs (CSV bank exports, evidence files, dispatch logs).
• Automatically import CSVs into Excel ledgers (Promissory Note + Licensing).
• Trigger Excel macros to update ledgers, generate invoices, receipts, and draft Master Minutes.
• Rename and organise evidence files into proper naming convention (EVD-YYYY-MM-DD-NN_TYPE_DESC).
• Maintain a Dispatch Register for mailed notices (tracking numbers).
• Log all actions in an agent.log.
Requirements:
• Python automation with watchdog for file monitoring.
• Excel VBA macros (or win32com from Python) to handle ledger updates and document generation.
• Folder structure and file naming must strictly follow my conventions (YYYY-MM-DD, INV-2025-001, etc.).
• Config-driven design (config.yml) so rules (categories, % splits, macro names) can be edited without code changes.
• Setup as a background service (Windows Task Scheduler or similar).
• Documentation + handover training (short guide or video).
Deliverables:
1. Working core agent script + Excel Runbook.
2. Config file with editable rules.
3. Documentation (how to run, pause, update).
4. Test run with sample CSVs/evidence.
Environment:
• Windows 10/11 machine
• Google Drive (for cloud storage, mirrored locally)
• Excel (for ledgers + macros)
Future Work (optional, not part of this job):
• Telegram/email notifications for status updates.
• Small dashboard for monitoring.
