Automation Specialist for Clinic System

Job Title:
Clinic Appointment Automation (Google Sheets + Make.com + WhatsApp)

Description:
Looking for an automation expert to build a clinic appointment system using Google Sheets, Make.com, and WhatsApp/SMS. Must deliver end-to-end working system with documentation.

Objective (What problem this solves)
Automate clinic appointment handling using Google Sheets + WhatsApp/SMS so that:
Scope of Work
A. Core System (Mandatory)
1. Google Sheet Setup (Just copy paste as is)…
o Create master sheet with following columns ONLY:
 Patient Name
 Mobile Number
 Appointment Date
 Appointment Time
 Doctor Name
 Status
 Booked
 Confirmed
 Attended
 Missed
 Rescheduled
2. Make.com Automation
o Trigger when a new row is added or status changes
o Automation logic:
 Booked → Send confirmation message
 Confirmed → Send reminder (T-1 day)
 Attended → Mark completed
 Missed → Send follow-up message
 Rescheduled → Update date & resend confirmation
3. WhatsApp / SMS Integration
o WhatsApp via Twilio / Gupshup / WATI (client preference)
o SMS fallback if WhatsApp fails
Deliverables (VERY IMPORTANT)
Ask vendor to deliver all 6 items:
1. Google Sheet (live, editable)
2. Make.com scenario (documented)
3. WhatsApp/SMS templates (approved)
4. Error handling (invalid number, failed message)
5. Handover document (1–2 pages)
6. 7 days post-deployment support

1. Google account (owner access)
2. Make.com account
3. WhatsApp API account (or approval to use vendor’s)
4. Message content approval
5. One clinic workflow confirmation
Success Metrics (How I Will judge vendor)
• Sheet updates automatically
