About Us

The Polar Bears is a tech-forward agency helping global media and entertainment brands (ITV, Disney, Channel 4, Sony, Hasbro) scale revenue on YouTube through our proprietary platform and AI-driven tools. We're transitioning from agency to SaaS and need an experienced Project Manager to oversee client delivery operations.

The Opportunity

We're seeking a highly organized, self-directed Project Manager to manage client delivery and operations while our team member is on maternity leave, with strong potential to extend long-term based on performance and business growth.
This is a freelance contractor role with flexible hours working remotely during UK business hours.

What You'll Do

- Manage day-to-day client delivery using Asana (task creation, assignment, tracking, and deadline management)
- Process and track new client orders via Monday.com
- Serve as primary point of contact for client communications (primarily email, occasional video calls)
- Coordinate contractor resources across multiple time zones and flag capacity issues proactively
- Maintain project documentation and ensure delivery stays on track
- Identify and escalate project risks before they become problems
- Support onboarding of new client services and ensure smooth handovers

What We're Looking For

Must-Haves:
- 4-6 years of agency or digital project management experience
- Expert-level proficiency in Asana (or Monday.com/Notion/ClickUp)
- Experience managing remote/distributed teams
- Excellent written and verbal English communication skills
- Confident on video calls with clients when needed
- Self-directed, proactive, and hyper-organized
- Available during UK business hours (9am-6pm GMT) for team/client communication
- Comfortable with variable workload environments

Nice-to-Haves:
- Media, entertainment, or YouTube sector experience
- SaaS or tech product delivery background
- Familiarity with Monday.com
- Experience with creative/data-driven agency workflows

Engagement Terms

Hours: 10-hour weekly minimum, up to 20 hours per week as needed
Rate: £30-40/hour (depending on experience)
Time Tracking: Everhour (required)
Duration: Initially to cover maternity leave (~6 months), with strong potential for long-term extension
Start Date: 13 Oct (Possibly Earlier)
Work Setup: Fully remote, UK hours required

Our Interview Process

Round 1: Video Screening (15 minutes)
- Brief chat to assess communication skills, experience, and culture fit
- Discussion of Asana/PM tool proficiency with scenario-based questions
- Confirm availability, rate, and logistics

Round 2: Practical Assessment (Paid, 2 hours max)
- We'll provide a real Asana project snapshot and ask you to:
- Organize and prioritize tasks
- Identify potential issues or bottlenecks
- Draft a client update email
You will be paid £60-80 for completing this assessment.

Round 3: Paid Trial Period (2 weeks)
- Week 1: Shadow current team member and learn our processes
- Week 2: Manage projects independently with support available
- Paid at agreed hourly rate via Everhour tracking
- Successful completion leads to ongoing engagement.

Red Flags (Please Don't Apply If...)

- You cannot work UK business hours
- You have no agency or client-facing project management experience
- You're not comfortable with variable weekly hours (10-20 range)
- Your Asana experience is beginner level
- You cannot commit to Everhour time tracking
