Tree Work Estimation App

We would like to develop an app that allows customers to obtain estimates on tree work being done.
Phase 1 High Level Overview
• Admin Portal where 4GTree admins can
o Review any estimates/jobs.
o Estimate calculation tables.
o Customer Data
o Work Item data

• Customer can go to app and request an estimate for tree work. The customer will upload a minimum of 5 photos of each the trees they want trimmed, removed, etc. Each tree will be a separate work item, and they will have options to select what they want done.

• We want the application to then give an estimate per work item and record the estimate, email the customer the estimate as well.
o This will entail the application being able to estimate the tree dimensions, based off of pictures; in order to calculate the hours, it will take to complete each work item.

• The customer should be able to review the estimate at any time.

• If customer chooses to accept the estimate, they click Accept – which will create a job # and an email will be sent to the 4G office. Also record the job in quickbooks or an output file that can be imported into Quickbooks.

• Admin office can then review all details through the Admin portal of the job/estimate.

• We also want to record the actual effort it took to complete each work item to have actual data vs estimate.
o We would like an AI tool to use the estimate data to make better future estimates. This is a key requirement.

• Most importantly, the app should either integrate with QuickBooks or generate QuickBooks-compatible data (CSV or JSON), so we can continue sending estimates through QuickBooks while capturing job data in the app.

• Chatbot to ensure we provide the fastest and most efficient service.

Core Features
• On-Demand Estimates: Instant job pricing using measurements from pictures submitted through app, for tree height, canopy spread, and DBH.
o Determine measurements of trees. Height, canopy spread, diameter of trunk.
o Estimates would also be based on wood handling, etc
o Customer Job Preferences: Users can specify wood handling, chip dumping locations, and log size preferences.

• Crew Job Time Tracking: Logs real-time job duration to refine AI-driven pricing estimates.
o The object is to have a customer get an estimate from the site. If they accept, we schedule the job and give a job number.
o Crew Lead will update the job data with the actual time it took to complete the job.
o We would like to use Machine learning to improve the accuracy over time as more data is collected.

• Chat Bot
o Provide friendly, real-time assistance to website visitors who:
 Need help understanding how to use the estimate tool
 Have questions about what information to enter
 Want clarification on the estimate process
 Need help uploading photos or scheduling a visit
 Want to talk to a real person if they get stuck
o Core Objectives
 Improve user experience by guiding customers through the estimate form
 Reduce drop-offs and incomplete submissions
 Build trust by answering common questions instantly
 Route more qualified leads to the team
