Project name: Velora Executive Suites - Green Field (Architectural Masterplan of land & Core Buildings + Hotel Business Operational Instructional)
Overview / Goal
I have already designed and ordered folding accommodation units that will be installed in clusters interconnected 8 x 6m x 6m prefabs. I need a professional to turn this concept into a 4-star, operationally efficient hotel estate on my 2.1Ha hilltop farmland site near Solwezi (approx. 5km from town), maximizing north-facing hill/slope views towards Solwezi township/valley, and integrating a signature fruit-garden theme with stepped herb/vegetables garden landscape between blocks. They feel like they are living in a rustic farm with a view.
The estate will include:
• Terraced clusters of rental units (initial build, then scalable to 96+ units)
• Main reception / restaurant / retail core building (2 levels plus a riif top meals/bar area)
• One restaurants (Italian wood-fired + Asian specials)
• Convenience store (open to guests + local community)
• Separate building with as Health Club (pool/cold plunge/lap, sauna/steam, gym/studio, boulder climbing, treatment/beautify rooms, consult rooms; locker/change/shower for guest + public subscriptions-basedpackages)

Known site facts / constraints
• Sloped site ~8–14° (and up to ~23° for the stacked prefab building areas); terracing/stepped platforms required. Topography is done and there is a elevation of 24m from top to bottom.
• Both buildings are preferred to be organically rounded to match the bay shaped view. There is a nice garden with pond to serve as event gathering and acts as partition between the busy main hotel buidling and the separate health oriented quiet retreat.
• The flower garden (between the 2 buildings) has a pond that also serve irrigation stream to all the fruit gardens beneath.
• Farmland location with rough access roads; title conversion to council land nearly complete
• Investment license in the works but basic land clearing and preparation is permitted.
• Existing water system already built at the TOP of the property: borehole + water tank system
• Existing sewage/soak-away tanks already built at the BOTTOM corner of the property. Estimation is a tight 3m last dash slope from building to tank for the sewage pipe to travel.
• Rainwater collection pond at the bottom of the property to support the dry season in Zambia. Site/buildings/landscape must capture and manage runoff into this pond safely (with erosion control, filtration/silt traps, overflow routing, and protection from contamination).
Everything else is to be designed (roads, power, stormwater, telecom, public parking, walkpaths, service road, etc.).

Critical requirements
• Low-staff / high-service operations via smart planning, back-of-house (BOH) efficiency, and security/access automation (perimeter, gates, CCTV zoning, lighting).
• Phased growth without rework: masterplan must support expansion to 96+ units with reserved corridors for roads and utilities.
• Separated circulation: Guest paths vs staff paths vs service/delivery routes (kitchen deliveries, laundry, waste, maintenance) with turning radii and hardstands.
• Slope + stormwater risk: masterplan must include terrace strategy, drainage, erosion control, retaining concepts, and a runoff strategy that supports the rainwater pond.
• Odoo 19 Enterprise (with Pragmatic Hotel Management bolt-on) is installed in VPS but need configuration for hotel operations (guests, services, billing/accounts, subscriptions for the health club, workflows, documentation/hand-over).

Key building update: 2-level Reception/Restaurant/Bar/Shop/Services Building
The main core building is two levels to reduce earthworks/backfilling on the 8° slope:
• Lower Ground level (Service + Reception + Lobby level): contains kitchen and BOH/utilities (receiving, storage, cold rooms/freezers, prep, dishwash, grease/waste handling, laundry, staff facilities, maintenance/spares, security control, plant rooms, pumps, IT racks, etc.). Lower level access must support delivery trucks and service circulation without interfering with guest flows. The level also has the hotel guest reception, lobby and secured entrance to the rest of the accommodation area. This level is expected to have higher ceiling to accommodate extraction ductwork for the main food preparation kitchen and warehouses.
• Ground level : aligned to the existing access road and car parking (level entry). Holds the restaurant finishing & serving kitchen, large generous dining areas, bar/lounge, rconvenience shop, toilets, business center, mini meeting rooms, and view terraces. The level do not have access to the accommodation blocks below for maximum security and exclusivity.
• Upper level: Mostly open space with strategically placed private sheltered areas for diners and social gathering benches. These are flexible enough to be used as a traditional bar-restaurant setup or 2-seater tables to open area for wedding/business presentation and other celebrational gatherings. There is a centrally located foods/drinks/toilets serving block with staircase to ground level. Food/drinks/stock can be raised from below ground level kitchen. Again, the landscape views for diners is the highlight of the place. Store room for excess furniture and children play corner is needed. Lots of festival lighting cooling fan for when weather becomes hot.

Required Deliverables (High Level)
A) Hotel-grade Site Masterplan (concept → buildable)
• Topographic/terracing strategy (cut/fill logic, retaining stepped approach, plant friendly drainage, erosion & water pond with site wide irrigation control)
• Incorporating the already mostly designed repeating 8-unit cluster modules (with repeating spacing, parking, services, landscaping, walkpaths, between cluster stepped garden and access stairs)
• Utilities masterplan (power + backup/solar readiness; water pressure zoning; wastewater now + future upgrade; data/telecom; Wi-Fi topology)
• Stormwater + rainwater harvesting masterplan: runoff capture, silt traps/filters, safe routing to the bottom rainwater pond, overflow design, and contamination risk controls (especially relative to the sewage/soak-away location).
• Security masterplan (perimeter, gatehouse, CCTV, lighting, access control)
• Outputs: PDF + editable CAD/Revit/SKP + phasing overlay (Phase 1/2/3+)
B) Reception/Core Building — 2 levels plus a roof top entertainment
Ground level: Shop, bar, restaurants (view-facing), toilets, shop, business center, outdoor terraces.
Lower ground Level: Guest arrival sequence, reception/concierge, lobby/lounge. With utility sections: stock receiving, stores/cold rooms, kitchen zones, dishwash, grease/waste, laundry, staff facilities, maintenance/spares, security control, plant rooms/utilities.
Key rule: minimize staff steps/handoffs: receiving → store → prep → pass → dining → dishwash → waste.
Upper Ground Level: Mainly outdoor dining and entertainment space
C) The Velora Health Club (separate building)
Concept + operational model, view-facing retreat spaces, membership/packages.
D) Landscape + Fruit Garden
Orchard geometry, irrigation zoning, guest paths/seating/photo points; kitchen garden placed for operations; greywater/nutrient loop concept (legal/practical); future aquaculture interface concept (prawns/yabbies) where feasible.
E) Business Establishment + Ramp-Up + Steady-State Plan
Positioning/pricing for mining contractors; occupancy strategy (Mining contractors, preferred supplier pathway); staffing model by phase; SOP outline; systems stack (PMS, invoicing/VAT, inventory, access control); pre-opening plan; 12–36 month ramp-up financial model (CAPEX/OPEX/cashflow/break-even/sensitivities).

Proposed Milestones (with Acceptance Criteria)
Milestone 1 – Concept Masterplan High level (Site + Cluster Logic)
Deliverables: 1 - Detailed masterplan + recommendation; separated circulation plan; repeatable 8-unit cluster module + parking & guest walkpath; stormwater/erosion/stepped gardens + rainwater pond capture ponds; landscape and event garden between the tweo buildings concept; report pack (10–20+ pages) + editable files + assumptions/risks list.
Acceptance: scalable to 96+; phasing overlay included; separated flows clearly shown; slope/stormwater addressed; pond capture and overflow strategy included; legible/dimensioned/editable outputs.
Milestone 2 – Schematic Design (2-Level Core Building + Health Club)
Deliverables 2: schematic plans for the main hotel buidling and the health club building; flow diagrams (guest, food, laundry, waste); health club concept layout; updated site integration; PDFs + editable files.
Acceptance: guest-facing spaces view-oriented; BOH flow logical; delivery/service access primarily to lower level; service yard does not intersect guest promenade; plans dimensioned.
Milestone 3 – Design Development (Build-ready intent + Outline Specs + Cost Inputs)
Deliverables: DD drawings (plans/elevations/sections showing slope and two-level building relationship), outline schedules, kitchen equipment outline, MEP intent layouts, outline finishes/specs, phased cost inputs.
Acceptance: workable services on slope; premium but maintainable finishes; costs and scope separated by phase with assumptions.
Milestone 4 – Tender/Approvals Coordination
Deliverables: approvals-ready drawing set index/submission pack; coordination notes for local Zambian sign-off if offshore; final organized folder of PDFs + editable AutoCAD & Report files.
Acceptance: organized, complete, clear stamping/sign-off pathway, final files delivered.
