About the Project
We are a digital marketing and conversion systems agency working with a functional health practitioner client.
The client already has an existing Practice Better account with Stripe, Evexia Labs, and Fullscript connected.
We are looking for someone with real hands-on Practice Better experience to configure the backend, connect it to GoHighLevel using a native webhook, and build the full client delivery experience inside PB.
This is a fixed-scope project with a clear deliverable list. We are not looking for ongoing management at this stage.
We are specifically looking for someone who understands client journey flow inside Practice Better not just basic admin setup.
What Needs to Be Built
Practice Better — Configuration and Setup
Review the existing PB account and document what is already built vs what is missing
Configure the lab package and 6-month coaching program inside PB
Review the Stripe connection and confirm payment setup is functioning correctly
Configure scheduling for group calls and any required 1:1 sessions
Organise the client portal so it feels clean, branded, and easy to navigate
Configure onboarding flow logic so the correct steps trigger at the correct stage
Configure form assignment logic so the right form is delivered to the right client at the right stage
Forms — Build or Refine Inside PB
Main intake form — health history, medications, symptoms, goals
Energy and fatigue score form
Symptom questionnaire
Lifestyle audit form
Weekly check-in form
Lab readiness form
Consent and agreement form review/refinement
Portal and Month 1 Module
Organise portal structure and navigation
Set up Month 1 module structure — Week 1 through Week 4
Create welcome video placeholder section ready for upload
Create lab instruction video placeholder section ready for upload
Upload provided PDFs and guides into the correct weekly modules
Ensure the full client experience is ready upon login
GHL to PB Connection
Configure native GHL outbound webhook on purchase confirmation
Webhook should automatically create the client record in Practice Better
Test the complete flow:
Purchase in GHL → Client created in PB → Onboarding triggers correctly
No Zapier or third-party middleware — direct webhook connection only
GHL — Minor Configuration (Secondary to PB Work)
Build pipeline stages:
Referral Received
Payment Confirmed
Contract Signed
Labs Submitted
Results Received
Program Active
Check-In Complete
Configure internal notifications for key stage changes
Support the primary GHL builder with webhook setup/testing
What You Do NOT Need to Do
Write copy or email content
Build landing pages or sales pages
Build email automations
Create PDFs from scratch
Handle offer strategy or positioning
Provide ongoing maintenance after handoff
Requirements
Proven hands-on Practice Better experience
Experience building PB packages, workflows, forms, and portal modules
Experience with GHL webhooks or API/webhook configuration
Ability to work independently from a written brief
Available to begin within the next 1,2 days
Strong communication and ability to flag blockers quickly
Experience with health coaching or functional medicine platforms is a strong plus

Daily progress communication
All assets, PDFs, copy, and content will be provided
You will work directly with our technical co-founder
