Automation Specialist HubSpot - aXcelerate Integration

About the Role
We're seeking a Zapier and API Integration Specialist to build and maintain an automation flow between HubSpot and aXcelerate. Your focus will be on migrating contact data and associated file uploads (e.g., ID documents) into aXcelerate’s contact portfolio, under specific portfolio types like “Date of Birth Evidence”.
You’ll own the technical design and implementation of this workflow using Zapier, Webhooks, and aXcelerate’s REST API, with the goal of streamlining our student onboarding and compliance documentation processes.
Key Responsibilities
Design and build automation flows using Zapier (HubSpot → aXcelerate)
Configure HubSpot triggers to detect new or updated contacts with file uploads
Query and retrieve contact data from aXcelerate using API endpoints
Upload files to aXcelerate contact portfolio using multipart/form-data POST requests
Implement conditional logic, duplicate detection, and error handling
Ensure compliance with data privacy and RTO requirements
Requirements:
Proven experience with Zapier automation including Webhooks and custom requests
Strong understanding of REST APIs, particularly authentication and GET/POST methods
Experience with HubSpot CRM and file upload fields (custom properties or form integration)
Familiarity with aXcelerate API (or quick ability to learn from documentation)
Experience working with file uploads (multipart/form-data) in Zapier or similar platforms
Ability to test integrations using tools like Postman
Excellent troubleshooting skills and attention to detail
Nice to Have:
Understanding of compliance workflows in student management systems (SMS)
Previous automation projects involving file/document processing
Success in This Role Means:
Contact file uploads (e.g. passport, driver’s license) are automatically migrated from HubSpot to aXcelerate under the correct portfolio category
All workflows are reliable, secure, and easy to maintain
Errors are caught early, logged, and easy to troubleshoot
