Automate Inventory Tracking Integration

I look after supply management for a medical provider that serves the LGBTQ+ community. We have just consolidated everything into a single distribution hub, and from this point forward that hub will handle every inventory-related task for all of our clinic locations. To keep pace, I need our inventory tracking to move from manual spreadsheets to a fully automated, scalable workflow that plugs straight into the software stack we already use.

First priority is real-time stock visibility. As soon as an item is received, dispensed, or transferred between sites I want its quantity to update instantly across the system. Barcode scanning at each touchpoint is essential so staff can work quickly without typing errors. Low-stock alerts will come later, but the foundation has to be bullet-proof tracking.

Because our clinicians are already comfortable in the current EHR and purchasing tools, the new module must integrate with that environment through APIs or other standard connectors rather than standing alone. I’m open to your recommendations on language, database, and hosting, provided the result is secure, HIPAA-compliant, and easy to expand when we add more locations.

Deliverables
1. Detailed technical plan outlining data flow and integration method with the existing software stack.
2. Working prototype that demonstrates real-time updates driven by barcode scans on a small test dataset.
3. Production-ready deployment script or installer, complete with user roles, permissions, and logging.
4. Brief user guide plus recorded walkthrough for our clinical staff.

I’ll test the build by scanning sample items from two clinics and confirming that quantities sync instantly in both the hub and our EHR interface. If that passes and code is well-documented, the project is done. Looking forward to seeing how you can make our new hub run itself.
