Web-Based Business Product Database Development
Budget: $1,500 – $3,000 CAD
I’m looking for a web based product database for my business, to be used to track product pricing to be used for quoting and invoicing. Primary use would be from a computer web browser, however mobile use could be beneficial. There may be multiple concurrent users, however users do not necessarily have to be differentiated. The main features would be:
1. The ability to input product data.
2. The ability to search for and display product data. After being recalled, product data could be edited and saved back to the database. The product should also be able to be deleted from the database.
3. The ability to combine product data into assemblies, which can also be stored and recalled.
The assemblies would reference the products used to create them so that updating a product would also update all assemblies using that product. The ability to add and remove products from the assembly as well as duplicating the assembly would be beneficial.
4. The ability to add products and/or assemblies to a temporary grid. The grid would total the pricing of all the products/assemblies. This grid would be able to be saved as a spreadsheet or PDF for external use.

Product Category (dropdown + searchable, ability to add categories)
Part Number
Product Description
Cost Price
Markup %
Retail Price (auto populate: cost x markup)
Unit (dropdown: each, per meter, per foot, pkg, box)
Last Updated (from system date)
The ability to bulk import from an excel file or CSV file to allow importing existing product lists. Exporting functionality would also be beneficial for backup of the database unless other methods of backup are available.

2. Search Function

Search for products by part number or description. Selected products would be able to be edited and saved, updating the database entry. ‘Last Updated’ column would automatically update any time a change is made.
Search for assemblies by part number or description. Products would be able to be added/removed from assemblies before being saved.

3. Assemblies

Assemblies are a combination of products used to create a price book item for common installations, rather than having to create quotes from scratch each time. Assemblies should be able to be saved, and be searchable by assembly number and/or description.
Assemblies should be created by adding products to a list, with the ability to assign the quantity of products being added. Assemblies should also be editable, allowing products or quantities to be added/removed after the assembly has been created.
Duplicating assemblies should also be possible, to allow for creating similar assemblies with slight variations.
The assembly should reference the retail price of each product. Then the retail price of each product should be multiplied by the quantity of said products, and then the total of all products would become the assembly price.
Example:
Assembly: 80CFMDUCT
Description: 80CFM Bathroom ventilation fan w/ ducting.
Products:
1 each - Broan AE80 - $80 x 1 = $80
14 meter - 14/2 NMD - $1.50 x 14 = $21
10 foot - 4” flex duct - $2.00 x 10 = $20
1.5 each - Journeyman Labour - $100 x 1.5 = $150
Assembly TOTAL: $271

4. List Function

To facilitate quoting or invoicing, a temporary use product grid is required.
Products and assemblies can be searched for and added to the grid while specifying the number of products/assemblies added. Products and assemblies should also be able to be removed from the grid, and/or their quantities updated.
This grid should display the details of Quantity, Part Number, Product Description, Unit, Retail Price and Line Total for each product line. The Line Total is the Quantity multiplied by the Retail Price.
When assemblies are added to the grid, it is required to automatically recall and display all products making up the assembly as separate line items. However, these line items should have some differentiation to show that they are part of an assembly and are not just a continuation of the other products in the grid.
The prices for each product making up an assembly do not need to be listed. The price for the assembly only is sufficient when considering the Total Retail Price of the grid.
There should be a line showing the Total Retail Price of all products and assemblies in the grid, which is a sum of all the Line Totals.
The grid should be able to be saved as a PDF. Alternatively, any format that can be opened in a spreadsheet would be acceptable. There should be two options when saving a grid:
Saved with all line details visible.
Saved without the Retail Prices, Line Totals, or Total Retail Price
