Project Brief: End-to-End Booking System Setup & Custom API Integration for Wellness Business
Project Description:
I am seeking a highly skilled freelancer to set up our entire booking system from scratch. This is an end-to-end project that involves not only configuring the platform but also developing a custom solution to handle our unique service offerings. We are open to using SimplyBook.me or another booking platform that you can demonstrate has the capabilities we need. My partner and I run our own private health practices and are launching a shared business, all operating from the same location and sharing resources.
Part 1: Full System Setup and Multi-Business Configuration
We require the complete setup of the booking platform to support three separate businesses operating at one shared location, with a single, centralized calendar to prevent double-bookings.
Key Deliverables:
* Account Setup: A full setup of our account with all necessary settings configured.
* Business & Location Setup: Properly configure three distinct "locations" within the system, one for each business:
1. My private practice
2. My partner’s private practice
3. The shared spa offering
* Staff & Resource Management: Set up all practitioners and assign them to their respective locations. Configure shared resources (such as the spa deck and treatment rooms) so that they can be booked by any practitioner while preventing double-bookings.
* Unique Booking Widgets: Provide the specific widget code for each of the three locations so we can embed a separate, dedicated booking widget on each business’s website that only include the services offered by that one business.
* Payment & Notifications: Connect our payment gateway and configure automated email and SMS notification templates for all businesses.
Part 2: Custom API Integration for Complex Packages
This is the most critical part of the project. We need a custom-coded solution to automate the booking for two specific group packages that cannot be handled by standard features on platforms like Cliniko, Fresha, or Acuity.
Package A: The Hybrid Sequential/Parallel Package
This package has a hybrid structure for two clients that is both sequential and parallel:
* Phase 1 (Sequential, Resource-Based): 2 hours of private spa time for two clients. This phase books out a specific resource (the outdoor spa deck) for the full 2 hours and also books me as the practitioner who will look after them during this time.
* Phase 2 (Simultaneous, Staff-Based): Immediately following the spa time, the two clients receive a 1-hour treatment simultaneously from two different staff members. This can occur in the same room or in two separate rooms depending on the service choice.
The customers can choose from four different 1-hour services for Phase 2:
* A facial or somatic therapy session with myself
* A Chinese herb consult with a second staff member
* A massage with a third staff member (a contractor)
Key Requirements for Package A:
* Single Online Booking & Checkout: The customer must be able to book the entire 3-hour experience for both themselves and their guest and complete a single payment in one seamless online transaction.
* Hybrid Booking Logic: The custom booking interface must correctly reserve the 2-hour resource block and book me for that time, and then check for and book the availability of two staff members for only the 1-hour treatment period that follows.
* Accurate Availability Checks: This is critical, as the practitioners also run their own practices. The system must check the required staff members' availability for only the 1-hour treatment window.
* Service & Staff Selection: The interface must allow the customer to select their preferred treatment from the four options and then correctly assign it to the right staff member and room for the final 1-hour period.
Package B: The Group Package
This package involves 3 hours of use of the spa deck resource for a group of 4-6 people.
* Ideally, the system would also allow them to add services (subject to staff and resource availability on the calendar).
* If this proves too complex, we are happy for them to simply book the spa time, and then we will attach a form for them to express their interest in adding services for some of the guests and I will contact them to share what is available.
* The price should be presented at a per-person rate for this package.
Ideal Candidate
* Proven Experience: A proven track record of successful API integrations for complex booking platforms. Experience with SimplyBook.me, Acuity, Vagaro, or Mindbody is a plus.
* End-to-End Knowledge: Experience in setting up and configuring a booking system from initial account setup to payment gateway integration.
* Problem-Solving Skills: The ability to build custom logic that addresses the specific and unique requirements of our packages.
